Job Summary:

Join us as a Direct Import Specialist, where you'll manage and coordinate the execution of direct import purchase orders for new and existing product lines, along with calculating and presenting customer quotes as requested. The primary goal is to ensure seamless direct import operations by collaborating with cross-functional teams, communicating effectively with vendors, and overseeing the logistics coordination for successful shipment delivery.

Key Responsibilities:

• Collaborate with cross-functional teams to fully execute purchase orders for both new and existing product lines.

• Request, review, negotiate, and organize product quotations from overseas vendors, and calculate customer price quotes, particularly for major national retailer chains.

• Engage in effective communication with internal departments and external manufacturers to streamline the development of production timelines and estimated arrival schedules.

• Organize time-sensitive documents and order confirmations, ensuring clarity and accuracy.

• Liaise with import logistics to establish and communicate clear expectations for purchase order arrivals.

• Provide regular updates on the status of purchase orders to both internal and external stakeholders.

• Review, follow up, and approve purchase order confirmations received from vendors.

• Enter Sales Orders (SO) and generate Purchase Orders for factories, facilitating seamless direct import shipments.

• Manage the setup of customer-specific product information in the system, ensuring accurate direct import shipping.

• Maintain organized quote sheets to efficiently manage pricing information.

• Monitor and track all purchase orders, ensuring accurate records of factory progress, logistics, and final destination.

• Continuously re-evaluate and communicate changes related to production deadlines, materials, substitutions, and any delays that may arise.

• Maintain direct communication with manufacturers regarding order specifics, deadlines, quality control matters, and any potential issues.

• Proactively address and resolve potential problems through effective internal and external communication.

• Manage vendor chargebacks and associated documentation related to direct import shipments.

• Assist in the meticulous proofing of catalog product data each season to ensure accuracy and consistency.

• Demonstrate unwavering positivity, an optimistic outlook, a respectful demeanor, and a strong commitment to being a collaborative team player.

• Perform other duties as assigned from time to time.

• Has strong organizational and leadership skills

• Has excellent communication and negotiation abilities

• Has attention to detail and problem-solving skills

• Is proficient in Microsoft Office Suite and NetSuite

• Preferably has prior experience in procurement or logistics
