We are proudly part of Japan Post — www.tollgroup.com PURPOSE The Import Manager will oversee and lead the daily Import procedures of both Air and Ocean in all operational disciplines and ensure operational excellence, high productivity meeting or exceeding customer expectations. The Import Manager is responsible to ensure timely and accurate processing of Air and Ocean freight import shipments, to meet both business and client specific metrics. In addition, the overall job profits, and completion of jobs as well as compliance to external and internal KPIs by ensuring timely and accurate processing of customer invoices, reports and creditor approvals and processing. To act as the daily interface between TGF and the customer in delivering a seamless and professional service that meets and exceeds the customers’ expectations PRIMARY DUTIES & RESPONSIBILITIES Leads and retains existing and secures new business by providing pricing direction & carrier options. Maintains contact with customers (internal and external) regarding conditions affecting the service level of area served. Audits and vets WIPS & ACRL adjustments, carrier invoices/billing, CASS reports, and operations finance reporting along with Profit & Loss statement management with cashflow statement analysis Assists sales team in troubleshooting & resolution of daily operational issues, under the direction of the Branch Manager. Participates in negotiation of named account / bullet rates for strategic accounts with AFR and OFR carriers. Assists Branch Manager and sales in the implementation of new business to ensure proper communication & understanding of SOPs at origin stations, follow-up with vendors, carriers & other stakeholders to facilitate seamless start-up. Manages the entire Import shipment lifecycle (ocean/air) along with carrier management with respect to the assigned/allocated customer account by department manager or above Completes Customs Import compliance requirements and communicates the same with management regarding associated protocols or any change in the framework. Ensures origin/destination compliance, including document management, NRA, discrepancy escalation, etc. Aligns with deadlines provided/expected from the department manager and above to support overall planning process Engages with all customers to fill their requirements and report updates as needed Manages transport carriers for Import shipments (air/ocean) and appropriate relationship management Maintains beneficial Government & supplier relationships Responsible for freight/space bookings with carrier and airlines – source quotes on an ad-hoc basis Supports work allocation and optimization with the department manager (and above) Identifies process improvements opportunities and works with the department manager to support the same to ensure that there are always best practices implemented or supports operation excellence as required by management. Liaises with different functional groups (Finance, Sales, IT, Overseas team) to work cross- functionally to optimize job delivery overall Mentors’ department members: assist other colleagues with questions and/or training and execute Disciplinary responsibility over the Import department. Interviews new staff members and recommend candidates for hire, if needed Measures and monitor result provided by DM each month against TGF standards, monitor deadlines, and hold desk level employees accountable. Evaluates staff performance through the Toll PAR process Performs other duties as assigned by management In respect to financials: Maintains cost effective job processing and maintain timely completion of jobs Processes Accounts Receivable/Payable as necessary with appropriate approval with superiors Ensures the team enters WIPs and ACRL on a timely basis with adequate support (if needed) Maintains job profitability and reports/escalates to superiors if identified otherwise Ensures all processing is aligned within our internal KPI’s and reports/escalates to superiors if identified otherwise. In respect to health & safety: Records all accidents and incidents immediately Acts promptly in reporting any emergency and environmental incidents situations Notifies manager immediately of any emergency or environmental incident Always takes seriously both your own safety and the safety of others Takes an active role in identifying hazards and unsafe behaviors in your workplace by reporting any hazards and incidents quickly Turns up fit for work and immediately report any unsafe behavior Suggests improvements that will give Toll a competitive advantage. JOB REQUIREMENTS Essential Minimum Qualifications Bachelor’s Degree Minimum of five (5) years’ experience in logistics/freight forwarding industry and at least two (2) years’ management level experience in operations and/or customer service experience with supervising team members Preferred Qualifications CargoWise Certified (3) Modules Proven Management Skills Proven Time Management Skills Sales oriented – Supports sales with creative products & solutions PHYSICAL DEMANDS This position is generally sedentary in nature; involves sitting most of the time but may involve walking or standing for brief periods of time.
