Overview
CampV’s Project Coordinator reports directly to the Executive Director and provides administrative and project management support to the Directors and staff. Provides assistance implementing CampV’s forecast and budget during the year, manages accounts payable and employee payroll. Maintains and updates the donor database and completes applicable follow-up and stewardship. Assists with programs, projects and events. This position includes building and maintaining professional partnerships with our referral organizations and on-site service providers to ensure the highest level of success for the Veteran population. Additionally, this role recruits, trains, and supervises the volunteer program. This position requires a high level of attention to detail with experience in the area of financial book-keeping, spreadsheet management, database management, time management, and superior multi-tasking skills. The Project Coordinator must have strong interpersonal skills and be an effective communicator who will represent the organization in the community at all times.
The Project Coordinator will report to and work closely with the Executive Director and Development Director in order to ensure the success of CampV services and programs for the East Texas Veteran population.
Responsibilities
Under the supervision of the Executive Director, the Project Coordinator will:
· Manage, maintain, and record CampV’s financial transactions to include purchases, expenses, donations, invoices, payments and employee payroll.
· Record financial data, conduct monthly reconciliation and produce monthly and annual reports to the Executive Director and Board of Directors
· Work closely with the Executive Director and Development Director in the development and execution of the annual budget
· Manage the donor database, record all donations, provide donation receipts and thank you letters, and provide monthly reports to the Development Director
· Assist staff with preparing agendas, communications and minutes for all meetings as well as attending all meetings and providing additional support as necessary
· Assist with typing and/or draft documents, maintain the file system, copy and scan documents, answer telephones, route calls and mail appropriately and perform other administrative office duties
· Assist in meeting arrangements, scheduling and coordination and travel arrangements
· Manage and maintain complex files, records, and materials regarding CampV financials, grants, other financial programs required to sustain CampV operations
· Assist in maintaining tenant lease/contracts and reports and invoice tenants on a monthly basis
· Assist the Veteran Services Coordinator in the recruiting, training, and supervision of volunteers.
· Identify, develop, and maintain relationships with organizations and service providers that will bring assistance and benefits to the military Veteran population.
· Effectively communicate with office staff, volunteers, and service providers on events, services, programs, and operations.
· Comply with and enforce all organizational policies and procedures and participate in the determination and development of additional policies and procedures.
· Help in planning and executing organization fundraising events and public programs.
· Work closely with the Executive Director to lead the team with integrity and establish and maintain a trusting, inclusive, and productive environment.
· Serve as assistant to the Executive Director and Development Director on special/routine projects
· Attend weekend and evening events to promote CampV and support its partners.· Complete all other duties as assigned.
Minimum Qualifications
· An Associate’s degree in relevant field and/or over three (3) years experience in business office administration
· Knowledgeable about the military (Military experience preferred, but not required)
· Must possess extensive knowledge in accounting/bookkeeping skills and working experience with QuickBooks software
· Must possess an extensive knowledge in clerical duties and be able to handle a variety of interruptions while continuing to follow through with a project or routine assignments.
· Must be able to prioritize and move from one project to another.
· Must be detailed oriented, have highly structured organizational skills, superb computer skills, and the ability to create in-depth spreadsheets and documents.
· Must have ability to make decisions; compile and compose reports, maintain confidentiality, organize workload, understand/follow instructions.
· Must have above average working knowledge of MS Word, MS Excel, MS Power Point, and QuickBooks
· Must be adaptable and willing to work with others and respond to change.
· Must be accurate in performing job duties.
· Must act in a professional, helpful manner, particularly in stressful situations.
· Must be able to work independently and have the ability to establish and maintain effective working relationships.
· Must be able to communicate effectively both verbally and written with management, employees and public in person, on telephone and computer.
Physical Conditions
· The staff person must be able to attend meetings/events on night and weekends as needed.
· Teamwork is an essential component to working at CampV. Staff members pitch in to help each other with responsibilities as needed. All staff members are expected to contribute to the team regardless of job title.
