The IT Contracts Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. Extensive knowledge of department processes.     BASIC PURPOSE: The Strategic IT Contracts & Compliance Analyst will assist in the successful completion of milestones related to contractual negotiations and projects for the team. They will be the primary point of contact for Software Asset Management lifecycle. In addition, the candidate should exhibit exceptional professionalism and customer service. The candidate also ensures that the organization is abiding by all software licensing requirements.

     

    MAJOR RESPONSIBILITIES:

    • Promote and design process compliance and improvements across the IT Contract and Procurement Processes
    • Track software renewals to provide time for cancellation, negotiation, and purchase order execution
    • Ensures full documentation of software purchases including, approvals, purchase orders, contracts, and licenses
    • Input new agreements, licenses, and subscriptions into the company’s asset management tool
    • Maintain the data accuracy within all data sources and tools
    • Collaborate with various internal departments, such as IT, legal, finance, and procurement, to ensure alignment
    • Monitor contract expenses, forecast budgets, and optimize costs related to IT contracts.
    • Manage assigned contracts from start to finish
    • Identify risks and liabilities within contracts
    • Ensure that contracts adhere to company policies, industry standards, and legal requirements
    • Manage the contract process using products such as Docusign, ServiceNow, iCertis, and SAP
    • Manage the invoicing workflow using products such as SAP VIM and ICG Workflow
    • Establish and maintain relationships with IT vendors, ensuring compliance, and monitoring performance
    • Act as the liaison between the vendor, business, and legal team to ensure the contract can be executed
    • Assist with the successful onboarding of new vendors 
    • Assist the team with negotiating terms, pricing, and conditions for IT related products and services
    • Create and distribute reports as requested

     

    EDUCATION AND EXPERIENCE:

    • Education:
      • Bachelor’s degree in MIS, Accounting, Finance, or related field preferred
    • Experience:
      • 4 years of experience preferred with Software Asset Management, IT Contracts, IT Procurement, and Accounts Payable

     

          SKILLS AND PHYSICAL DEMANDS:

    • Skills:
      • Hard skills: Intermediate to expert knowledge of SAM practices; advanced writing and editing skills, specifically the ability to develop documentation, company communications, reports, root cause analyses, etc.; ability to break down complex problems into manageable tasks.
      • Soft Skills: effective interpersonal and relationship-building skills; strong written and oral communication skills; analytical and problem-solving abilities, with keen attention to detail; self-motivated and directed, with the ability to effectively prioritize and execute tasks under little supervision; experience working in a team-oriented, collaborative environment.
    • Typical Physical Demands:
      • Occasional evening and weekend work to meet deadlines.
      • Occasional travel may be required.
      • Requires prolonged sitting, some bending and stooping.
      • Lifting and transporting of moderately heavy objects, such as computers and peripherals.
      • Manual dexterity sufficient to operate a computer keyboard, mouse, calculator, and other computer components.
      • Requires normal range of hearing and vision.
