      Salary Range $50,750- $63,999

      Position Summary:

      Goodwin University Magnet School System is seeking a passionate and talented Operations and Special Projects Coordinator to join our team. Under the supervision of the Director of Magnet School System Operations, the Operations and Special Projects Coordinator, will be at the heart of our operations, responsible for ensuring smooth day-to-day activities, managing special projects, and driving operational excellence across the organization.

      The Operations and Special Projects Coordinator serves as a support to the schools and district to expedite and streamline processes. This role requires a collaborative and strategic mindset, strong leadership skills, the ability to adapt to a rapidly changing environment and a commitment to continuous improvement and excellence. Additionally, the Operations and Special Projects Coordinator will perform various complex clerical and statistical record-keeping duties related to the enrollment and withdrawal of students, including those in special programs, according to established policies and procedures.

      The following statements of duties and responsibilities are intended to describe the general nature and level of work being performed by the individual assigned to this position.       General Responsibilities:

      • Support and manage the daily operations of Goodwin University Magnet School System, ensuring efficiency, productivity, and seamless collaboration across schools in the areas of transportation, facility, enrollment, procurement, and financial reporting and analysis.
      • Develop and maintain operational procedures, constantly looking for opportunities to enhance workflow and streamline processes.
      • Collaborate with cross-functional teams, such as Finance, IT, Special Education, and Human Resources, to prioritize tasks, allocate resources, and meet objectives.
      • Identify and assess operational risks and implement effective mitigation strategies to maintain a safe and secure work environment.
      • Lead special projects from initiation to completion, including scoping, planning, execution, and evaluation.
      • Drive operational excellence by implementing performance metrics, analyzing data, and identifying areas for improvement that support the magnet school compliance.
      • Foster a collaborative and inclusive work culture, promoting effective communication, teamwork, and employee engagement.
      • Monitor external school district trends and program advancements to identify opportunities and potential strategic partnerships.
      • Liaise with internal stakeholders, external vendors, and partners to ensure smooth project execution and maintain high-quality standards.
      • Partner with district leadership to conduct periodic evaluations of operational processes, identifying key challenges and recommending innovative solutions.

      Data Management & Administrative Support

      • Keep abreast of district and state requirements codes and laws to ensure compliance with established regulations and timelines.
      • Partner with school level staff for the enrollment/re-enrollment process by ensuring the accurate collection of annual documentations, including, updated emergency contacts, media release forms, residency verification, immunization records, etc. and ensuring they are correctly logged, updated and uploaded in the student information system.
      • Create and maintain systems for the management of complex administrative tasks.
      • Within authority level, independently problem-solve, research options, and propose solutions or adaptations when administrative challenges arise.
      • Support the development and compilation of meeting materials, including presentations and handouts.
      • Prepare and maintain a variety of detailed records, files, and reports related to student enrollment; maintain confidentiality of records and information.
      • Assist parents with the completion of registration materials.
      • Periodically serve as backup to school or district office staff.
      • Coordinate purchasing/distribution of materials and services (e.g., uniforms, office supplies, and teacher supplies.)
      • Serve as a resource to procure goods/services via the financial system.
      • Notify parents and students when updates are required and enforce compliance.
      • Respond to inquiries regarding student information from other schools and other authorized agencies; verifies and provides information contained in permanent student records as appropriate.
      • Assist in communicating with administrators, staff and parents regarding student needs.
      • Support planning and execution of school-wide events and fundraisers.

      Process & System Improvement

      • Analyze feedback data to identify and implement experience and process improvements.
      • Support the compilation of content for compliance reporting including data analysis and reporting, and data gathering.
      • Request, receive, establish, and review student records as part of a total quality management process.
      • Review and enter information according to preset structure across school/district platforms.

      Transportation & Event Management
      • Manage, track, and maintain field trips and school-based activities, including building and vessel use/request in conjunction with Goodwin University.
      • Support with planning and logistics for staff outings, retreats, and other activities.
      • Receive transportation data and collaborate with partners to ensure requests align with policies and practices to provide routes to families, while keeping school staff or departments abreast of development.
      • Perform other related duties as assigned that support the overall objective of the position, and the ability to periodically work nights and weekends.

      Qualifications:
      • Bachelor's degree in Business Administration, Operations, Management, Finance, Education or a related field preferred. Preferred qualifications: BA/BS degree. Consideration may be given to candidates with extensive tenure as an Operations Manager or similar role within a school district.
      • Minimum of 7 years of experience in an education or business setting supporting operations, program management, system development or finance.
      • Proven track record of leading and managing special projects, demonstrating strong project management skills.
      • Excellent analytical and problem-solving abilities, with a data-driven approach.
      • Strong leadership and interpersonal skills, with the ability to influence and motivate cross-functional teams.
      • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
      • Ability to thrive in a fast-paced and dynamic start-up like environment.
      • Ability to periodically work nights and weekends based on the cycle of a magnet school district.
