Job Title: Operations Coordinator
About the Organization: We are seeking a dedicated and detail-oriented Operations Coordinator to support operational activities and facilitate the implementation of various programs and projects. The Operations Coordinator will play a key role in ensuring efficient workflow, maintaining organizational systems, and contributing to the overall success of our initiatives.
Key Responsibilities:
- Program Coordination: Assist in the coordination and execution of programs and projects, including logistics planning, resource allocation, and coordination of activities with internal and external stakeholders in collaboration with the program manager.
- Data Management: Oversee the implementation, optimization, and maintenance of our project management platform. Responsibilities include configuring boards, creating automation, training team members, and providing ongoing support to ensure effective utilization.
- Communication: Serve as a point of contact for program participants, partners, and stakeholders, responding to inquiries, providing information, and facilitating communication as needed.
- Procurement and Inventory Management: Support procurement processes, including obtaining quotes, processing purchase orders, and tracking inventory of program materials and supplies.
- Event Support: Assist in the planning and execution of events, workshops, and training sessions, including venue coordination, participant registration, and onsite support.
- Reporting: Assist in the preparation of reports, presentations, and other materials documenting program activities, achievements, and challenges for internal and external stakeholders.
- Quality Assurance: Ensure compliance with organizational policies, procedures, and standards in program implementation, reporting any issues or concerns to the operations manager.
- Continuous Improvement: Identify opportunities for process optimization and efficiency enhancement within operational workflows, contributing ideas and recommendations for improvement.
Qualifications:
- Bachelor's degree in business administration or related field or 3 years of experience.
- Previous experience in administrative support, operations coordination, or project management, preferably in a non-profit or similar context.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy in data management and documentation.
- Proficiency in Microsoft Office suite and experience with database management software.
- Excellent communication and interpersonal skills.
- Experience working in a collaborative, cross-functional environment.
- Training in project management software administration is a plus.
- Commitment to the mission and values of the organization.
Additional Duties Include:
- Acting as an ambassador for the organization and representing its values and mission across all interfaces.
- Any other duties as required in a mission-driven, fluid operation.
Compensation and Benefits:
- Salary range: $50,000-$54,000 depending on experience.
- Full-time, hourly position with benefits including paid holidays, sick time, vacation, and PTO.
