SUMMARY

On site role, 8:00am - 4:30pm Monday - Friday.

Responsible for activities relating to the coordination of shipping finished goods to our customers, and assistance with supply chain management. Including but not limited to interacting with customers, preparing the required paperwork, working with freight companies, coordinating deliveries to job site, and coordinating with Purchasing on supply chain opportunities. Works closely with Customers and other internal departments including: Accounting, Sales, Production, Inventory Control, Purchasing, and Shipping to complete assigned tasks.

Key Responsibilities

• Interface and coordinate with external customers to determine best method and timing of outgoing orders, via phone and email.
• Provide freight quotes and lane analysis for sales and purchasing departments.
• Work with production to monitor finished goods to ensure products are available for shipment on agreed upon shipping schedule.
• Process all required transactions and paperwork in ERP software and/or carrier’s software to ensure proper transactions are accomplished.
• Use shipping reports and ERP data to ensure required shipments are being prepared to meet both internal and external customer expectations, update data as needed.
• Ensures all proper shipping documents are accurately prepared to meet the requirements of both domestic and international shipments.
• Interact with outside representatives on behalf of Wood Stone to resolve issues associated with shipments, this may include Customers, Contractors, Freight Carriers or Government Agents.
• Scanning and filing of documents into system as directed.
• Work closely with Accounting to resolve issues involving customer invoicing and/or freight billing.
• Work with Supply Chain department to ensure efficient and cost-effective movement of goods and materials.
• Multiple on-line software tools are to be used for preparing freight quotes, processing shipments and reporting status upon request.
• Compile and send daily ship notifications to customers.
• Assist in small package processing when needed. (UPS, Fed EX)
• Processes and completes engineering projects, including creating new part numbers, routings, and BoM’s.
• Other tasks as requested by the Logistics Lead and/or Production Control Manager.

Key Qualifications

• High School diploma or equivalent.
• Experience in shipping/logistics department or similar related customer service focused role preferred.
• Detail oriented. Data analysis, critical thinking and problem-solving skills.
• Ability to manage multiple priorities. Ability to consistently maintain shipment schedules and meet deadlines. Knowledgeable in use of computers and applicable software (MS Windows, MS Office, ERP systems, Office Accelerator).
• Excellent communication skills both written and verbal and will be able to present information in a clear and concise manner.
• Commitment to company values. Excellent interpersonal skills. Ability to work in a team- oriented environment. Self-starter.
• Relies on instruction and pre-established guidelines to perform the functions of the job. Some degree of latitude is required to perform job functions. Works under general supervision.
• Remain alert during shift. Ability to work 8 hours per day and 5 days per week during normal factory hours.
• Fluency in written and spoken English.
• Ability to come to work regularly in the office.

Working Conditions

This role operates in a professional office environment. Indoors at a desk; heated in the winter, doors open in summer. This role routinely uses standard office equipment such as computers and phones. While performing the duties of this job, the employee works indoors and maybe on the factory floor or at customer sites and trade shows. The plant environment may be dusty and loud, PPE equipment is required. Safety measures required and provided. The noise level in the work environment is usually quiet to moderate in the office and can be loud on the factory floor. Potential for overtime and occasional Saturdays may be required.

Physical Demands

While performing the duties of this job, the employee will often be required to stand, walk, use hands to finger, handle, feel or operate objects. The role includes physical tasks on the production floor including operating office equipment, the employee should be comfortable with physical tasks and being in a production warehouse environment.
