Help Desk Manager manages the staff and operations of an organization's technical help desk. Ensures team members are trained and coached on effective methods to research, troubleshoot, deliver solutions, and access the current product or technical updates. Being a Help Desk Manager trains the team on the help desk systems and tools to identify, document, track, and resolve reported problems. Identifies and gathers key metrics to analyze the help desk performance and identify problem areas. Additionally, Help Desk Manager monitors and measures service metrics and volume to develop standards, improvements, or changes to workflows and resource allocation. Acts as an escalation point and facilitator for severe, critical, or unique issues. May require a bachelor's degree. Typically reports to a director. The Help Desk Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Help Desk Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.   • Curriculum/Technology Specialist under the direction of the Director, performs a variety of duties to support the school, by assisting students, parents, and teachers with obtaining appropriate curriculum, materials, and services. The Curriculum/Technology supports the mission of the school by ordering, managing, developing, and improving the instructional materials for the school. The Curriculum/Technology Specialist will be responsible for organizing and maintaining the resource library, as well as forming a system to keep track of items that are checked out/returned. The Library/Technology Specialist will assist parents, K-12 students,  teachers, and homeschool education specialists to find appropriate curriculum, and must have a good sense of curriculum and resources. The Specialist will work closely with the instructors and other stakeholders to improve the quality of teaching, learning and assessment in online education and the enhanced face-to-face environment. The Specialist manages the daily operations of the Learning Management Systems (LMS) Canvas and other eLearning on campus. This position provides advanced support to instructors and students for various software by solving complex technical issues.

     

    QUALIFICATIONS:

    • Associates degree or equivalent is required
    • Tech Savy, Database management preferred 
    • Comfortable working with Canvas, Apple and Microsoft applications
    • Teaching experience is a plus.
    • Language Skills: Bilingual skills are a plus. 

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    In general, this position requires the ability to do the following work:

    • Collaborate and write technical procedures, as assigned  
    • Collaborate with external software contractors to update systems, as assigned  
    • Provide technical support on all software programs that are used by internal and external stakeholders  
    • Provide technical training to all staff and vendors, as assigned  
    • Assist vendors with technical questions regarding on-boarding, procedures, and invoicing  Answer and respond to phone calls in a timely manner using professionalism and confidentiality  Collaborate with management on operating systems and procedures to ensure full efficiency and maximum customer service  
    • Work with external vendors to order products in order to ensure proper inventory levels  Work with external vendors to solve procurement issues  
    • Respect to confidentiality issues of all stakeholders  Ensure the safety of students, parents, and teachers at all times  
    • Maintain databases, as prescribed  
    • Assist with material returns and proper processing throughout the year and at year-end  
    • Work with businesses and individuals to properly answer vendor inquiries  
    • Assist all vendors/businesses/staff with questions/concerns, as needed  
    • Review, analyze, and process orders for fulfillment within deadlines  
    • Answer inquiries regarding student materials, online programs, and learning center classes with a high level of professionalism, including proper grammar/punctuation  
    • Analyze and process year-end student inventories to ensure compliance with board policies and state  guidelines for use of public funds  
    • Collaborate with Student Records and Finance on missing materials status to ensure families are properly billed per state and board policy  
    • Keep current with school computer applications  
    • Establish and maintain cooperative and effective working relationships with others  
    • Use critical thinking skills, research techniques, and a basic understanding of policies and procedures when needed to resolve stakeholder concerns  
    • Read, speak, and write using technical, kind, and professional communication  
    • Communicate pertinent information to necessary stakeholders in a timely and professional manner  
    • Operate office equipment such as calculator, copier, computer, scanner, printer, and fax machine  Attend meetings as requested by management/supervisors  
    • Perform related duties, as assigned 
    • Select, order, maintain and disseminate information in the library and virtual classroom to all faculty and students.
    • Teach faculty and students how to use the resources available in the library and provide support for class projects and research.
    • Teach faculty and students how to use instructional technology applications.
    • Keep current with information, publications, technology, and formats used in the library.
    • Maintain library records including circulation, purchases, patrons, classes, and online access.
    • Generate reports for budgeting, yearly statistics needs assessment, and other areas as needed.
    • Participate in professional development opportunities to stay current in the field.
    • Troubleshoots operation and software problems, determine the cause of error or stoppage, provides workarounds in cases where the problem is software related or escalates to system technical support if required.
    • Responds to specific information requests from the school and district staff and external parties.
    • Ensure people have a clear understanding of the policies and procedures and the importance of putting them into practice
    • Monitor the way policies and procedures are actioned and provide support where necessary.
    • Fill school book orders.  
    • Perform warehouse duties such as review and maintenance of inventory levels, shipping and receiving and distribution of purchase orders.  
    • Maintain inventory management.  
    • Utilize purchasing and inventory software.  
    • Operate typical office equipment such as calculator, copier, computer, scanner, printer, and fax machine.  
    • Attend meetings as requested by management/supervisors.  
    • Establish and maintain cooperative and effective working relationships with others.
    • Communicate pertinent information in a timely and professional manner.  
    • Keep current with school communications, policies, and procedures.  
    • Communicate courteously and effectively with staff and parents.
    • Perform software and hardware installations and updates on portable and desktop apple and Window platforms.
    • Install and configure printers, peripheral and assistive devices.
    • Assist staff in the effective use of agency and program-supported software applications across platforms.
    • Provide technical assistance and troubleshooting to identify/resolve software and hardware problems.
    • Participate as an effective team member with other technical support positions for acquisition, set up, problem-solving and efficient equipment operation.
    • Assist in maintaining the inventory of hardware configurations, peripherals, and software licenses.
    • Communicate clearly and make independent decisions within established policies and procedures.
    • Participate in professional growth activities.
    • Comply with local district and ESD rules and policies.
    • Stay updated with E-Rate deadlines and requests.
    • Perform physical requirements unaided or with the assistance of reasonable accommodation.
    • Perform job-related tasks as designated by the Director.

    Essential Duties and Responsibilities - Alexandria Library System:  

    • Collaborate on all warehouse decisions and projects  
    • Train new staff and temps on warehouse layout and shipping/receiving process  
    • Collaborate within the department to maintain consistency across 
    • Purchasing and Bookmart systems  
    • Fill student textbook/materials orders
    • Answer assigned emails, fulfill requests, and resolve problems  
    • Assist with maintaining inventory levels  
    • Coordinate drop-off and collection of year-end books/materials returns   
    • Maintain well stocked, organized, and safe warehouse environment  
    • Troubleshoot “On Hold” orders and clear for processing  
    • Process funding requests  
    • Process returns and clear student inventories  
    • Fill student technology orders (Chromebooks, laptops, MiFis)    
    • Check Chromebook insurance doc before charging for damage  
    • Add student to damaged doc for billing  
    • Analyze and repair student Chromebooks  
    • Maintain inventory on Barcloud and Google doc  
    • Move Chromebooks between students  
    • Manage obsolete and recycled Chromebooks  
    • Manage and distribute loaner Chromebooks 
    • Clear and update returned Chromebooks to put back into circulation  
    • Periodically run reports to find outstanding Chromebook returns  
    • Ability to instruct Chromebook and MiFi user on how to problem solve  
    • Assist entire Administrative Operations Department 
    • Write grant proposals related to curriculum and instructional matters.

    WORKING CONDITIONS:

    While performing the duties of this job, the employee is continuously required to sit and talk or hear. Occasionally the employee will repeat the same hand, arm or finger motion many times.  The employee must be able to attend meetings in the evening and at other locations.  Specific vision abilities required by this job include close vision such as ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
