Position Overview:
The Fundraising Coordinator will play a pivotal role in cultivating relationships with donors, ensuring their continued support through effective stewardship efforts. Responsibilities will also include overseeing administrative tasks related to fundraising activities, coordinating events to engage stakeholders, and generating comprehensive reports to track progress and outcomes. With a focus on strategic advancement, this role will contribute to the organization's growth and sustainability by maximizing donor contributions and optimizing fundraising strategies.
Core Responsibilities
Fundraising Planning & Implementation – 20%
Lead the planning and execution of various fundraising campaigns, including annual giving, major gifts, capital campaigns, and special events.
Set goals, timelines, and metrics for each campaign and monitor progress.
Implement and execute development plan via fundraising campaigns and strategies, including moves management, as directed by Director of Strategic Advancement.
Manage day to day execution of plan to grow ASHwell’s monthly giving program to meet departmental goals.
Donor Research, Cultivation, Solicitation, & Stewardship – 30%
Design and implement strategies to move donors through the fundraising funnel and pipeline using a moves management approach.
Identify and research potential donors who may have an interest in supporting the organization. This involves understanding donors' capacity to give, their philanthropic interests, and any connections they may have to the organization's mission.
Assess the potential of the identified donors to determine if they align with the organization's mission and are likely to contribute significantly. This step involves gathering more in-depth information about the donors' interests, values, and giving history.
Engage in direct cultivation of annual donors and mid-level donors. Develop and nurture relationships with donors through personalized and meaningful interactions. This may include personalized communication, invitations to events, and updates on the impact of their previous contributions.
Request a financial contribution from the donor based on a clear understanding of their interests, motivations, and capacity to give. This step involves presenting a compelling case for support and asking for a specific donation amount.
Engage in stewardship of annual donors and mid-level donors. Acknowledge and express gratitude for the donor's contribution, directly and by managing acknowledgements through other appropriate team members, ensuring donors feel appreciated and informed about how their support is making a difference. Stewardship activities aim to build trust and encourage continued and increased giving.
Assess the effectiveness of the moves management process by tracking donor interactions, monitoring giving patterns, and evaluating the success of fundraising campaigns. This information helps refine future strategies and improve donor engagement.
Represent the organization at community events, meetings, and networking opportunities to engage new prospective donors and cultivate relationships with existing ones.
Draft and deliver briefings for major gift scheduled visits and visits with other high-profile friends of ASHwell for Executive Director and Board Members
Communications and Marketing – 15%
Create compelling fundraising materials, including newsletters, emails, and social media content in conjunction with the marketing and communications team
Collaborate with the Communications Team to create and distribute compelling stories, updates, and impact reports to donors and funders
Research and communicate giving trends and ways people like to see their donations translated into impact reports
Database Management – 15%
Maintain accurate and up-to-date donor databases.
Track donations, pledges, and grant awards for reporting and analysis purposes.
Budget Monitoring & Performance Reporting – 10%
Collaborate with the finance team to monitor and track fundraising budgets.
Provide regular updates and reports to Director of Strategic Advancement on financial progress related to development activities.
Baseline - 10%
Participate in all required staff meetings and retreats
Maintain up-to-date calendar and work plan
Utilize org - wide systems and protocols for all agency business
Offer at least 24 hours' notice for internal meeting cancellations/rescheduling
Maintain chain of command for internal communications

Required Qualifications:
2 years of development and fundraising experience in a nonprofit setting
2 years experience coordinating multiple projects/programs including coordinating the people involved
Baseline understanding of donor relations
Strong planning, tracking and organizational skills
Minimum entry level experience with Network for Good or other, similar CRMs
Competency with your word processor of choice? Microsoft/Google products?
Strong written and verbal communicator with attention to detail
Ability to take creative direction and execute practically
Ability to prioritize and stay on track
Lives in Austin, TX or within the greater Austin Metro Area or willing to relocate
Baseline understanding of gender pronouns, pro sex culture and HIV de-stigmatization and/or willingness to learn

Preferred Qualifications:
Baseline understanding of 340b funding
3 years of development and fundraising experience in a nonprofit setting
2 years' experience with events-based fundraising events
1 years' experience leading and/or building donor stewardship programs
Experience developing and expanding an individual giving program
Prior experience establishing and maintaining relationships with a diverse array of donors through moves management approach
Lived experience relevant to ASHwell’s priority communities (Black, Indigenous, people of color, LGBTQIA2s , living with HIV, kinky, disabled, sexually active, etc.)
Prior experience working in a sexual health or health services related environment
Project Management Certification
Bilingual in English and Spanish
Intermediate to advanced experience working with CRMs / donor databases
Experience working with HIV funding, known donors, and federal funding
Experience working with socially, racially, and economically marginalized communities
