SUMMARY
Due to Internal Promotion we are seeking a Front Office Manager. (Opera and Hyatt Experience are a Plus). The Front Office Manager will coordinate Front Office activities of hotel and resolves problems arising from guests' complaints, reservation and room assignment activities, and unusual requests and inquires by performing the following duties personally or through subordinates.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Directly responsible for all Front Office Staff, which includes Guest Service Agents (GSA's) and reservationists.
· Assigns duties and shifts to workers and observes performances to ensure adherence to hotel policies and established operating procedures.
· Responsible for pro-actively managing room inventory to maximize revenue and available rooms. Determines when to discount rooms.
· Supervises and assists the Guest Services Agents in the specific tasks of reservation management and room status controls to ensure maximum possible occupancy is achieved on a consistent basis.
· Supervises and assists the Guest Services Staff in rendering the highest quality service when checking in and out guests. Taking appropriate action to respond to any guest complaints and always maintains positive guest relations.
· Works with all shifts to reconcile end of shift reports to ensure accuracy of all postings. Verifies all deposits are accurate.
· Prepares managers’ report to communicate availability, VIP's and groups.
· Monitor all VIP guests and their requests.
· Ensures all policies, procedures, federal, state and local ordinances with regard to personnel, security, cash handling, guest relations and safety are followed.
· Ensures all shifts are sufficiently staffed trained and is responsive to all guest needs in a professional manner.
· Train all staff to up sell and to close all rental opportunities.
· Communicate to all operational departments any changes in hotel occupancy via the Pickup report.
· Ensures all staff is properly trained in the brand rewards program, policies and procedures as set by the hotel.
· Ensures all employees are properly groomed in accordance with the uniform policies
· Follow up with audit and Controller suggestions and concerns.
· Confers regularly with the Maintenance and Housekeeping departments to ensure maximum room potential.
· Review all franchise Travel Agents Commission reports and verify they are correct for payment, making any necessary changes. Review non-franchised reservations made by travel agencies and verify requested commissions.
· Must be on call and flexible to work any shift at any time.
· Performs all other duties as assigned by management.
SUPERVISORY RESPONSIBILITIES
Directly supervises employees in the Front Office. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interview, hiring, and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
