Food & Beverage Purchasing Manager
The Food & Beverage Purchasing Manager works closely with the banquet, restaurant, and lodge operations on coordinating and supervising daily operational buying projects and vendor relationships within the Food & Beverage Department. The position requires high attention to detail, strong communication skills with diplomacy, efficient time management, and self-management. Responsibilities included, but not limited to are, Order Guide Management, Data Entry, Bidding, and Vendor Management. This position reports directly to the Executive Director of Food & Beverage.
DUTIES & RESPONSIBILITIES:
- Giving proper and friendly service/communication to points of contact both in and outside the organization. Effectively communicate with the receiving and distribution team and internal and external contact points.
- Timely and effective communication to the Food & Beverage leadership team verbally and in email responses.
- Managing Sun Valley Company Food & Beverage Vendors & Service providers. Delivery schedules and communications liaison between F&B operations and vendors.
- Utilization of the MyAvendra website and its tools. Familiarity with reporting tools to review opportunities in cost savings with a frequent review of Avendra supplier pricing.
- Shopping for the best price, quality, and match to requisition requests.
- Adhere to purchasing policies by the Procurement Department and Food & Beverage Executive Director. No purchases or spending without an approved PO or within COG’s budget parameters.
- Utilize and maintain BirchStreet Procurement Systems (software) for visual spending, order history, declining checkbook maintenance, and invoice processing for the Food & Beverage department.
- Build purchase orders in BirchStreet with details for routing and item information for future Order Guide additions.
- Review purchase orders for approval for Food Purchases. Maintain contracted suppliers and items, not allowing stray spending.
- Birch Street Order Guide maintenance and building to ease of ordering and ensure the correct items are ordered.
- Invoice Data Entry within 3 to 5 days of receiving the product, meeting AP deadlines, and staying up to date for correct Birchstreet Declining Checkbook data.
- Forecasting usage of common items to ensure supply chain success. Planning Purchases for Seasonal businesses and ensuring required need-by dates are met.
- Maintaining parts when necessary. Taking inventories of storerooms and using the information to avoid additional spending when unnecessary.
- Provide reports on data entry of spend, inventory, and receiving on a monthly, quarterly & annual basis as scheduled or requested.
- Attend Nicholas Food Shows and other trade shows as assigned for education and new item opportunities.
- Maintenance requests for maintaining company assets (delivery vehicles, equipment, storage areas, and products).
- Always following and practicing Sun Valley Resort’s driving policy.
- Handle pressure by the ability to meet deadlines in a very fast-paced environment.
- Continue to perform the same work according to set procedures, sequence, and pace.
- Ability to receive guidance and supervision; follow work rules, safety practices, and work procedures; meet deadlines, punctuality, and attendance standards.
- Be able to drive in inclement weather conditions.
- Assist with deliveries as needed.
- Reach/bend/twist and stoop/kneel/crouch to place merchandise in storage areas is required.
- Reach/grasp/manipulate all equipment and merchandise safely and adequately.
- Lift/lower and push/pull merchandise from floor level to overhead.
- Other duties and tasks as assigned.
QUALIFICATIONS:
- Must be proficient in Windows Operating Systems: Microsoft Excel, Word, Outlook, etc.
- Autodidactic skills are a must.
- Efficient Time Management
- General knowledge of accounting practices and terminology
- Work flexible and long hours as needed by the department.
- Possess a current, valid driver’s license and clean driving record.
- Ability to lift 20 - 50 lbs. on occasion.
