Our Office Manager is key to the growth of Floor Coverings International of Austin. A successful office manager will be pivotal in facilitating the increase in proposals written by design associates, assist with financial entry and ordering as well as with marketing efforts.
Duties & Responsibilities
Customer Relationship Management & Marketing
· Ensure customer records are managed for proper contact data and customer relationship management
· Promptly and properly schedule all leads to appointments for sales team
· Follow-up on open proposals
· Support and participate in home shows as necessary
· Support local marketing efforts as needed
· Keep show room and office organized and presentable
· Assist in development, management and delivery of local marketing tactics
· Resolve customer conflicts
Financials
· Track, prepare and manage timely payment of business related expenses
· Accurately update QuickBooks daily for all income and expenses
· Complete job costing reports within 24 hours of job installation completion
· Recording financial transaction details
Production
· Meet with sales staff weekly to discuss recent sales and review
o Customer expectations
o Product orders
· Order all product required for jobs accurately and follow-up on delivery
· Coordinate and schedule installation jobs to meet the customer and installer schedules
· Communicate with installers and customers to schedule start date and time
Continuous Improvement
· Attend weekly meeting with Franchise Owner at scheduled time
· Work weekly and monthly to meet goals
· Be available to attend training seminars
· Make decisions and act in accordance with Floor Coverings Internationals core values and mission
Goals
· Assist company in averaging 8 appointments per week per mobile showroom each month via lead generation and slippage
· Complete accurate daily, weekly and monthly accounting in QuickBooks
Qualifications
Successful Office Manager qualities may include:
· Able to work independently without supervision
· Strong communication skills, particularly over the phone
· Experience in bookkeeping and QuickBooks
· Solutions oriented
· Experience with Microsoft Excel
· Organized, detail oriented and able to multi-task
