Flight Training Coordinator researches and develops flight training programs for an organization. Develops methods and materials for training, including classroom, computer, and simulator sessions. Being a Flight Training Coordinator may coordinate training with external vendors. Must stay abreast of FAA regulations and determine relevancy to company employees. This position is part of the operations team and will require the ability to work in a fast-paced environment and multitasking. The operations team works closely with all departments to ensure every trip sold runs smoothly and all needs of the pilot while out on a flight are met. The CSR ensures every customer receives top level of service and amenities on every trip.
Primary Duties and Responsibilities:
● Continuous communication with the sales team and monitoring of flight schedule to confirm each flights passenger count, special requests, and catering needs
● Stocking all planes prior to each flight with all standard/included amenities and checking back stock boxes so that plane can be restocked while on location at other airports when necessary
● Arranging for and/or creating all catering items for flights ie. ordering pick up or delivery from restaurants, prepping/cooking, boxing, and labeling food items with company labels, and packaging in coolers when required
● Ordering all office supplies and food needs for catering and stocking of essential items, including runs to grocery stores, specialty store, and office supply stores
● Ensuring that the stock closet is fully stocked and rotated using the FIFO method (First in, First Out)
● Assisting with coordination of company events or special gatherings/meetings
Secondary Duties:
● Once a flight has been scheduled by the sales team, the operations team will start researching FBOs in the designated airports for the trips. Keeping record of all FBOs, their fees, fuel pricing, and the name of the person contacted at the FBO
● Negotiating fuel pricing with FBOs to ensure CPS is getting the best possible pricing on every trip
● In the event a trip will require the pilots to remain on location overnight the operations team is responsible for coordinating hotel reservations and rental car reservations for pilots, this will include contacting hotel to add names of pilots and the filing of a credit card authorization form with the hotel
● Working in conjunction with sales team and pilots throughout the entire trip to ensure that all information needed for flights (ie. pilot assignment, passenger names, & chosen FBO) is input into the system 24 hours prior to departure
● Tracking flights through systems to ensure accurate information is communicated to FBOs on the arrival and departure of the plane, calling FBO and ensuring billing and receipts are taken care of for pilots
● Regular communication with flight brokers during flight to update them on each leg of the trip
● Understanding that it is an irregular schedule and subject to after hours and weekend on call work, which can be done from the employees home but employee is responsible for having all paperwork and equipment, such as internet connection and phone, with them to complete all duties while not on office premises
