Position Overview
Facilities Services supports KU’s mission of learning, scholarship, and creative endeavor by operating and maintaining the University’s physical plant and grounds. The incumbent in this position oversees all KU fleet vehicles and related assets including their operations, conditions, safety, external and internal policy compliance and overall performance. This position oversees the end-to-end lifecycle (procurement through disposal) of KU Operations owned vehicles ensuring timely and effective preventive maintenance, reactive repairs, and keeps all asset tracking information up to date. This position directly participates in preventive and reactive maintenance of vehicles as well as the direct supervision of repair and maintenance staff. This position communicates directly with campus partners and vehicle owners. This position oversees the FS garage and it’s fueling operation. This position requires the operation of work issued vehicles.
The incumbent performs a variety of duties where accuracy and quality of work are of extreme importance.

Job Description
40% - Maintenance: Repairs and oversees staff responsible for repairing and maintaining vehicles. Works with units to schedule regular maintenance and reactive repairs. Works with vendors to order and receive parts and for scheduling of outside services. Ensures work orders are completed in a timely manner with accurate information. Ensures quality control of repairs performed internally and externally. Communicates, updates and makes recommendations to vehicle owners and customers regarding minor and major repairs including documented recommendations on the decommissioning of vehicles as needed.
35% - Fleet oversight: Ensures vehicle information is up to date in maintenance management systems, vehicle tracking systems and fuel management systems. Makes updates directly when possible and/or works with appropriate campus support partners to make sure information is accurate. Works with contracted vendors and owners to identify and purchase vehicles when fleet vacancies arise. Performs random inspections of fleet vehicles and reports back to leadership. Makes suggestions to make the fleet vehicles more reliable, efficient and durable.
10% - Supervisory: Direct supervisory activities including hiring, performance reviews, disciplinary actions, and terminations. Works with HR and FS leadership to make recommendations on staff performance. Directly trains and connects staff to effective training to improve skills and knowledge. Develops and encourages shop safety training. Reports safety concerns immediately and works to prevent safety hazards in the workplace. Oversees all relevant cost accounting, time reporting, work order management and purchasing activities to ensure necessary data is available to make effective data-driven decisions for our organization.
10% - Shop management: Oversees FS Vehicle Garage including fuel pumps, tool and parts inventories and equipment. Repairs and/or schedules repairs of shop equipment. Makes recommendations for additional equipment, tools and inventory items. Ensures a safe and clean work environment. Works with staff and leadership to determine and enforce internal and external scope of work.
5% - Performs other related duties as assigned.
Position Requirements
- Reach, grasp, lift, carry, and place moderately heavy loads frequently, and heavy loads occasionally (50 lbs) with or without accommodation.
- Perform work above normal heights, in confined spaces, and in extreme temperatures – both hot and cold, inside, and outdoors. Report to work during declared periods of inclement weather.
- Respond to after-hours emergencies as needed.
- Work planned and unplanned overtime as needed.
- Must digitally enter work order information and perform other electronic communications as required.
- Must have a valid driver's license by the time of hire and maintain that license throughout employment.
Required Qualifications
- High School diploma or GED equivalency AND Five (5) years of professional experience in a vehicle repair shop.
- Associate’s degree or vocational school certification may be substituted for two (2) years of the required experience.

- 2 years of experience as supervisory or lead worker in a professional vehicle maintenance repair shop.

A valid driver’s license by the time of hire and maintain the license throughout employment.
- Experience digitally communicating and updating information digitally using MS Office (ex: Outlook and Excel)
Preferred Qualifications
- Computerized Maintenance Management System (CMMS) or asset management system experience – preferably IBM Maximo.

Knowledge of safety measures and occupational hazards of the trades.

Experience working in a large university/college setting.
