Fleet Manager manages the acquisition, operations, and maintenance of the organization's fleet of motor vehicles. Oversees scheduling and dispatch operations for vehicles and drivers. Being a Fleet Manager evaluates, purchases, leases, and disposes of vehicles to maintain the fleet. Develops and maintains vendor and service provider relationships for fuel, maintenance, and other essential services. Additionally, Fleet Manager administers insurance policy coverage, negotiates agreements, and participates in claim resolution. Develops and implements safety, preventive maintenance, and accident prevention programs. Knowledge of OSHA, DOT, and fleet-specific regulations, licensing, registration, and reporting requirements. Manages the fleet expense reporting and budgets. May require a bachelor's degree or equivalent. Typically reports to a head of a unit/department. The Fleet Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Fleet Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required. FLEET MAINTENANCE MANAGER

  • Job Summary:

    The position of the Fleet Director is exempt from the overtime provisions of the Federal Fair Labor Standards Act and shall not be entitled to overtime compensation for hours worked in excess of 40 in any one work week.


    The Fleet Director will ensure that the maintenance of company vehicles and equipment are executed in an efficient, safe and economical manner by providing leadership, and coordinating and directing employee activities engaged in purchasing, servicing and repairing equipment and vehicles.

    Essential Job Functions:

    • Assuring sufficient delivery equipment availability to service customers on a daily basis
    • Establishment of maintenance and repair procedures for fleet equipment
    • Management of fuel and parts inventory including reporting of unit MPG and maintenance costs per mile
    • Management of maintenance facility, mechanic staff and overseeing all repairs
    • Preparing specifications for any new equipment purchase
    • Recommending operating and maintenance improvements to reduce cost per mile
    • Track OSS vehicles, enforcing lock out tag outs, and overseeing compliance PM and repair schedules
    • Ability to read and interpret Company regulations, policies, contracts, budgets, safety regulations, work orders, operating and maintenance instructions and procedural manuals
    • Ability to read and interpret computer print outs, invoices and proposals concerning issues or items related to fleet maintenance
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, and governmental regulations
    • Implement and schedule preventative maintenance inspections (PMI)
    • Assure that all PMI and repairs are in compliance with DOT, EPA, OSHA, FDA and any state mandated programs
    • Parts purchasing and inventory management
    • Diesel fuel purchasing and inventory
    • Ability to complete and monitor maintenance work orders, equipment pre-trip inspection sheets and other reports needed
    • Fleet cleaning
    • Up keeping maintenance dossier or similar computer program with all maintenance, repairs and D.V.I.R. reports
    • Approve all invoices for payment
    • Understanding of Profit/Loss Statements
    • Interfacing with warehouse management to resolve equipment issues in a timely manner
    • Participates in the recruitment, selection, training and evaluation of staff at all levels; conducts performance appraisals and disciplining employees, addressing complaints and resolving problems
    • Acts as a liaison with outside agencies regarding maintenance
    • Effective Communicator, good organizational skills, and detail oriented
    • Ability to interact effectively with all levels of employees and management, strong interpersonal skills
    • Minimal travel required

    Minimum Knowledge, Skills and Abilities:

    • Good written and verbal communication skills
    • Must be detail oriented with good follow up skills
    • Excellent organizational skills
    • Must be able to multi-task and handle a busy workload in order to meet strong deadlines
    • Must demonstrate accuracy in the recording and delivery of all information and records related to fleet maintenance

    Preferred Knowledge, Skills and Abilities:

    • Position requires a college level education or equivalent with 2 to 5 years fleet management experience
    • Must be able to work independently and within the framework of a team
    • Must have a knowledge of DOT regulations and safety guidelines
    • Must maintain a valid Driver’s License
    • Valid CDL Class A preferred but not required
