Job Summary
: Provide receptionist, clerical, and office duties for the Admission and Financial Aid Department, specifically, the Lower School (K-6) Admission processes. Assist the Dean of Admission and Financial Aid and the Admission and Financial Aid Directors.
Duties and Responsibilities
: This position is first and foremost responsible for managing the process for admission to ‘Iolani Lower School (grades K-6). This team member will help to ensure that applying families are our first priority, feeling welcomed, well communicated with, and treated in the highest regard. Seeking a kind, team-oriented individual who is well-organized, has a high level of emotional intelligence and professionalism, and can adeptly handle a high level of data management.
Specific duties include, but are not limited to, the following:

Greeting and assisting candidates, their families, and other community members in a warm manner that represents the One Team spirit.

Assisting applicants through every stage of the admission process.
Effectively communicating with families regarding applications via phone, email, and in person
Effectively communicating with all constituencies, internal and external, in a timely and professional manner.
Arranging and/or providing tours as appropriate
Managing the testing calendar and activities for admission to Lower School
Accounting for and managing payroll and monitoring invoices
Managing and inputting required documents, including testing and interviewing summaries
Attending and assisting with planning, coordinating, and implementing new student/family visits and all events
Handling RSVP lists for admission events
Processing new student information for registrars/counselors post-enrollment
Monitoring department invoices
Ordering office supplies and keeping inventory
Assisting the Admission and Financial Aid Departments as needed
Assisting all Admission team members as needed

Familiar with Ravenna (admission software)

Strong word processing with Word and Docs

Adept in Excel or Sheets, with the ability to manipulate a database and produce graphs

Education and Experience
:
Desired skills or background include a high level of attention to detail and accuracy,
strong customer service and communication skills, the ability to multitask in a fast-paced work environment, being a team player, and working well both individually and as part of a team.
Working computer knowledge of MS Office products (specifically Excel and Word/Mail Merge), database systems, and data entry. Knowledge of Ravenna and Google suite of products.
College degree required.
Physical Requirements
: Attendance is required 8 hours/day. Extended sitting periods; full leg and arm mobility (walking, ability to access overhead shelves); ability to lift and carry 10-15 pounds; full range of head and neck movement; corrected vision to 20/20, 20/40.
Participation
: Meetings and Committees, WASC when appropriate, department and staff meetings, Admission Events, and other events as needed.
