File Clerk performs routine filing duties, including labeling, storing, cross-referencing, and retrieving files. Places documents in and removes documents from files on a timely basis. Being a File Clerk may be responsible for performing related clerical duties. Typically requires a high school diploma or its equivalent. Additionally, File Clerk typically reports to a supervisor or manager. The File Clerk possesses a moderate understanding of general aspects of the job. Maintains all employee files to ensure data is complete, names are correct, and the file is filed in the appropriate location.
Maintains personnel and general correspondence files, which includes the necessity of keeping filing up to date on a daily basis.
Maintains employment verification, unemployment claims, and wage claim files.
Maintains I-9 files.
Periodically removes confidential terminated employee files by securing proper approval before sending off-site.
Request off-site files.
As requested, copies personnel files.
Maintains copy machine.
Sort and distribute U.S. mail on a daily basis.
Maintains employee payment information for FSA and HSA on excel spreadsheet for benefits specialist on a weekly basis.
Maintains Commission Database and shared drive. This includes adding new agreements and removing termed agreements.
Print, calculate, copy, and mail termed employees for Life Insurance.
Maintains Incentive Compensation spreadsheet, ensuring current and new employee’s that are awarded commissions have an agreement on file. This includes checking the shared drive, tracking spreadsheet and personnel files.
Works with the benefit department in auditing Blue Cross, Delta Dental, and VSP on a semi monthly basis.
