Facilities Manager manages the maintenance, construction, repair, and refurbishment operations of one or more facilities or properties. Implements policies and procedures that ensure the optimal functioning of buildings, grounds, and associated equipment. Being a Facilities Manager monitors daily building operations of all systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management to ensure reliability. Tracks work orders for quality, adherence to service standards, and budgeted guidelines. Additionally, Facilities Manager trains supervisors and employees in best practices for maintenance work, service and safety standards, and local laws and regulations. Oversees vendors or contractors engaged for construction projects. Typically requires a bachelor's degree. Typically reports to a director. The Facilities Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Facilities Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.   • The Waldorf School of Saratoga Springs is seeking a part-time Facilities Manager to assist with our three buildings.

    Summary of Basic Functions & Responsibilities

    Under the direction of the school Administrator, plan and complete the necessary maintenance work assigned to appropriately maintain the buildings and grounds at our three campus locations.

    Essential Duties & Responsibilities

    • Assure school buildings, grounds, facilities and equipment are operational and health, safety and security policies and guidelines are met.
    • Inspect school buildings and grounds daily to assure that proper safety, cleaning and sanitation standards are maintained.
    • Report any immediate needs to the school Administrator
    • Assume responsibility for the school alarm system.
    • Arrange for necessary repair work by vendors and contracted maintenance personnel.
    • Contact and follow up with vendors by telephone/email as necessary.
    • Inspect and review work performed to assure school standards are met.
    • Plan for and complete all necessary seasonal grounds work including but not limited to: maintenance and care of sidewalks, parking lots, trees, shrubs, lawns and fields.
    • Confer with school administrators in planning as required maintenance and cleaning of school campus locations.
    • Order custodial supplies and materials needed to maintain school.
    • Direct delivery and warehousing of all school supplies.
    • Maintain records concerning work requests, supplies and other matters.
    • Conduct and maintain up to date records of fire drills at each campus location.
    • Prepare quarterly reports as required.
    • Plan and implement a preventive maintenance program for school buildings and grounds.
    • Develop and oversee the Facilities Management Plan.
    • Coordinate use of school facilities with staff and community groups; communicate with users about specific needs; assist the public as necessary.
    • Assure that all safety requirements are followed.
    • Respond to emergency call-backs during off-duty hours.
    • Perform related duties as assigned.

    Qualifications Knowledge and Skills

    • Methods, materials and equipment used in commercial/school building custodial, groundskeeping and maintenance work.
    • Methods of organizing, prioritizing and completing job duties.
    • Ability to read and follow all necessary Health and Safety regulations.
    • Interpersonal skills using tact, patience and courtesy.
    • Proper lifting techniques.
    • Technical aspects within the field of specialty.
    • Working effectively with people from different cultures and valuing the interests of our diverse community.
    • Meet schedules and timelines.
    • Maintain records and prepare reports.
    • Maintain and implement the custodial budget.
    • Understand and carry out oral and written directions.
    • Estimate time and materials on a wide variety of activities.
    • Analyze situations accurately and adopt an effective course of action.
    • Work independently with little direction.
    • Perform skilled work in the construction, renovation, maintenance and repair of building and facilities.
    • Establish and maintain cooperative and effective working relationships with others.

    Education and Experience

    • A High School Diploma or its equivalent supplemented by four years of responsible experience in the building maintenance trades including at least one year of lead or supervisory experience.
    • Licenses and Other Requirements: Valid New York State driver's license.
    • Fingerprint clearance NYSED.
    • Lifting, walking, standing; noise of machinery; working outside; use of tools, equipment and chemicals.
    • On-call as needed.

    Position Schedule

    This is a part-time position

    25 hours/week

    Monday-Friday 7a-12p with flexibility depending on needs that may arise across the campuses.
