Executive Response Specialist provides timely resolutions to customer complaints that have escalated to the highest level within the organization. Coordinates with product/service suppliers and/or contact center staff to research and determine validity of complaints and evaluate options to remedy these complaints. Being an Executive Response Specialist reviews the underlying facts of the complaint, determines an appropriate solution, and delivers the response to the customer. Requires a thorough knowledge of the products/services offered, well developed customer service skills, and clear understanding of the company's policy regarding complaints. Additionally, Executive Response Specialist exercises a large degree individual discretion and judgement. Tracks complaints and makes recommendations to management designed to reduce the number of complaints. May require a bachelor's degree. Typically reports to a supervisor or manager. The Executive Response Specialist gains exposure to some of the complex tasks within the job function. Occasionally directed in several aspects of the work.     Job Summary:

    This position will be the first point of contact for our customers at our front desk and agency phone, providing them with assistance, information, and resolution to their questions and issues. This position plays a vital role in maintaining customer satisfaction, building relationships, and contributing to our company's success by delivering top-notch customer service. This position will also play a critical role in scheduling conference travel and lodging for various leaders and team members within the agency. This position is responsible for sorting mail, receiving deliveries, coordinating conference space, and assisting the Office Management Supervisor with administrative functions.

    Essential Duties:

    • Customer Support: Interact with customers via phone, email, or in-person to assist with inquiries and general support.
    • Issue Resolution: Address and resolve customer concerns, complaints, and requests promptly and professionally, ensuring a high level of satisfaction.
    • Calendar Management: Scheduling and coordinating meetings, appointments, and travel arrangements as needed.
    • Communication: Act as the primary point of contact for internal and external stakeholders, screening and prioritizing communications, and handling inquiries when appropriate.
    • Meeting Coordination: Schedule conference spaces and coordinate meetings in partnership with administrative leadership.
    • Travel Arrangements: Book travel arrangements including conference registration, flights, accommodations, and transportation for employees/clients as needed.
    • Document Preparation: Prepare and edit documents, reports, and correspondence as requested.
    • Data Management: Maintain and organize electronic and physical files, ensuring information is easily accessible and secure.
    • Expense Management: Track and process expense reports for scheduled travel ensuring compliance with company policies.
    • Project Support: Assist with special projects and initiatives providing administrative support as needed.
    • Confidentiality: Handle sensitive information and always maintain strict confidentiality.

    Minimum Qualifications:

    Education: High school diploma or GED required, Bachelor's degree or equivalent experience preferred.

    Experience: Two or more years of experience in a clerical, data management or related field. Previous experience working with Senior Management.

    • Ability to handle multiple tasks and prioritize effectively.
    • Discretion and ability to maintain confidentiality.
    • Proven experience in customer service or customer relations, with a demonstrated ability to handle executive-level customer interactions.
    • Excellent communication and interpersonal skills, characterized by professionalism and empathy.
    • Strong problem-solving skills and the ability to navigate complex customer situations.
    • Independent and effective time management skills.
    • Dedication to delivering an outstanding customer experience.
    • Strong attention to detail, accuracy and follow-through.

    • Clear a Level II background screening.
    • Clear a reference check.
    • Clear a local background check from the County in which you reside.
