Job Description
The Executive Assistant provides administrative support and performs executive-level functions in the MSE Administrative Office. This position is responsible for performing a wide range of duties and working collaboratively as a member of the office team to support the department in a variety of ways. Key responsibilities include serving as the administrative assistant to the department head (scheduling meetings and coordinating events; managing travel); public relations task (photography, brochure preparation, etc.); performing accounting, payroll, and financial tasks; providing administrative support to various committees within the department; and assisting faculty with pre-award functions for proposal submission.
Required Qualifications
Knowledge of office administration practices and procedures; experience in bookkeeping and working with fiscal transactions; demonstrated proficiency with word processing, spreadsheet and database software programs (such as MS Word, MS Excel, Access, PowerPoint, email and internet browsers); experience with publishing software applications; and excellent organizational, interpersonal and communication skills.
Preferred Qualifications
Preference given for knowledge of Virginia Tech accounting, purchasing, and personnel/payroll policies and procedures; experience with Banner Finance and Banner HRIS; VT leave reporting, experience with VT Ensemble CMS; experience with Summit and Cayuse, and VT pre-award tasks
