Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Being an Executive Assistant manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Additionally, Executive Assistant develops positive and strategic relationships at all levels of the organization. Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. Typically requires a bachelor's degree. Typically reports to c-suite executive. Collection Associates is seeking an P/T or F/T experienced administrative assistant. Hours are very flexible, no weekends and we can adjust for the right candidate. Candidates should be experienced with standard accounting procedures, Quickbooks & MicroSoft experience.
Responsibilities:
- Provide high-level administrative support to executives and senior management
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare and edit correspondence, reports, and presentations
- Conduct research and gather information for various projects
- Assist with data entry and document management
- Coordinate travel arrangements and itineraries
- Assist with event planning and coordination
- Handle phone calls, emails, and other communications on behalf of executives
- Perform general office duties such as filing, organizing, and maintaining records
- Assist with proofreading documents for accuracy and clarity
Requirements:
- Proven experience as an executive assistant or similar role
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent communication skills, both written and verbal
- Proficient in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
- Knowledge of office procedures and equipment
- Ability to handle sensitive and confidential information with discretion
- Strong attention to detail and accuracy in work
- Ability to multitask and adapt to changing priorities
- Experience with project coordination is a plus
- Familiarity with DocuSign or other electronic signature platforms is a plus
