Executive Assistant
As an Executive Assistant (EA) at Strobert Tree Services, Inc., you will provide high-level administrative support to executives within the organization. Your responsibilities will include managing schedules, coordinating meetings and events, handling communication on behalf of the executives, preparing reports and presentations, and performing various administrative tasks to optimize the executives' productivity and efficiency. The EA will provide communication support in all facets of the executive officers’ daily business routines. Manages details of highly confidential and critical nature and exercise judgement within generally defined practices and policies in selecting methods for delivering solutions.
The Executive Assistant will report directly to the CFO and support the CEO and CFO.
Executive Responsibilities
· Calendar Management: Organize and manage executives' calendars, including scheduling meetings, appointments, and travel arrangements. Prepare the executives for daily calendar and activities including prioritization of meetings, advising on potential calendar/ event/ corporate issues, and preparing all necessary documents and meeting materials.
· Meeting Coordination: Coordinate and prepare for meetings, including agenda creation, document preparation, and follow-up actions.
· Documentation: Prepare and edit reports, presentations, and other documents as needed by the executives. Conduct paper and electronic filing as requested.
· Information Management: Maintain and organize files, records, and confidential information in a systematic and accessible manner.
· Office Management: Oversee office operations, including supplies management, equipment maintenance, and coordination with other departments.
· Project Support: Assist in managing projects by coordinating tasks, tracking progress, and ensuring deadlines are met. Project management to include but not limited to conducting research and compiling special reports, presentations, and project analysis.
· Relationship Management: Build and maintain positive relationships with internal teams, clients, and stakeholders.
· Research: Conduct research on various topics, gather data, and prepare summaries or briefs for executive review.
· Problem Solving: Handle administrative issues and inquiries, finding solutions and escalating complex issues as needed.
· SOPs: Develop and maintain Standard Operating Procedures for administrative and other required tasks within the company.
Additional Responsibilities
· Personal ordering of supplies or necessary items for home or office as needed.
· Periodic errands: Dry cleaning pickup/drop offs, etc.
· Social media management, not company related
· Posting, buying and selling company and personal vehicles, equipment, etc.
Qualifications
· 10 years of experience supporting senior level executives, preferably at the C-Suite level for a fast-paced, growing company.
· Bachelor’s degree in Business, Management or equivalent years’ experience.
· Proven ability to handle sensitive information with discretion and maintain high-level of confidentiality and professional maturity.
· Advanced knowledge of the Microsoft Office Suite to include Outlook, Word, Excel, and PowerPoint.
· Proven proficiency in the collection of information and organizing into meaningful presentation materials, including, but not limited to special reports, PowerPoint presentations, and project analysis.
· Proven ability to multi-task and manage competing priorities effectively.
· Excellent interpersonal communication skills, both written and verbal.
· Self-starter, extremely organized and detailed-oriented with strong commitment to accuracy.
· Ability to operate with a high degree of independent judgment.
· Ability to establish and maintain strong working relationships with senior-level executives within and outside the company.
· Must be able to work in a fast paced, high-energy environment.
· Requires strong computer and internet research skills.
· Proven ability to manage rapidly shifting priorities and responsibilities with tight deadlines.
