The University of Virginia Darden School of Business has an exciting opportunity for a highly professional and experienced event planner to join its team as an Associate Director of Enterprise Strategic Events. The Darden School is highly regarded for its immersive educational experiences, and these experiences extend to events.
The Associate Director of Enterprise Strategic Events is a new position within the Darden School that will help the enterprise develop and implement a strategic events plan for both the U.S. and globally aligning with the school’s mission and goals.
In a matrixed environment, the Associate Director works across the Enterprise to set the annual calendar and provide best practices and resources to help event planners, both internal and external, execute with excellence.
As a member of the Dean’s Office, the Associate Director helps coordinate events staged by the Dean’s Office and arranges travel and logistics for the senior team.
The Associate Director also serves as an ambassador, being the initial point of contact for the Darden Enterprise and our students, faculty, staff, and guests. This position provides guidance and context for all visitors to Darden, including students, program participants, guest speakers, alumni, recruiters, prospective applicants, and Board of Trustees members. The Associate Director will rely upon deep knowledge of the school’s programs, daily operations, and initiatives to effectively direct guests, support daily and weekly activities and troubleshoot situations as they arise.
This role is critical for enhancing Darden’s reputation and visibility.
This position is located in-person in Charlottesville, VA.
Responsibilities:
- In partnership with the Chief Marketing and Communications Officer, create a vision and service model of engagement based upon the Darden brand and mission for a world class experience.
- Evaluate Enterprise practices and develop a comprehensive event strategy to align units with a goal to increase overall impact. This includes growth, revenue, engagement, and brand awareness.
- Execute events for the Dean’s Office from start to finish, according to requirements, target audience, objectives, and budget.
- Develop a purposeful, measurable, and data-driven approach that can be applied to all external facing events, whether in-person, virtual or hybrid.
- Analyze and eliminate duplication travel and event hosting, achieving maximum impact.
- Engage support from both the Darden School and Foundation; and pan-University Departments to further project management of events and special occasions.
- Effectively engage all Darden stakeholders including incoming students, students, faculty, guest speakers, Board of Trustees, Leadership Boards, The Executive Program (TEP), Executive Education and Lifelong Learning, recruiters and friends of Darden.
- Deep Strategic analysis to eliminate duplication of resources, both financial and personnel. If an event is hosted in a respective city, how can we achieve maximum impact.
- Develop universal templates and processes for agendas, speaking points, itineraries so that any Darden guest receives the same branded forms.
- Organize a central hub to create, develop and refine organizational efficiencies and best practices. Establish universal practices and procedures for event planning, promoting, executing events and VIP visits. This includes budgeting, logistics, vendor relationships, event promotion, and post-event evaluation.
- Work with the Chief Marketing and Communications Officer and event planners across the Enterprise to set the annual calendar of events and to measure their effectiveness, allowing for effective prioritization.
- Help coordinate travel for the dean and other senior leaders. Emphasis will be placed on how the dean’s travel can cross collaborate with initiatives.
- Source and negotiate with vendors and suppliers.
- Provide initial point of contact for guests visiting Darden and utilize deep knowledge of the school’s programs, daily operations, and initiatives to manage guest activity.
- Maintain and upgrade the Visitor Log and manage parking for the Enterprise.
- Escort guests to their respective meetings and answer the central telephone system to dispatch incoming calls.
Qualifications:
- Bachelor's degree and at least four years of experience required. Additional experience may be considered in lieu of a degree.
- Minimum of 5 years of experience in strategic event planning and management, preferably in an academic setting preferred.
- Proven ability to manage large-scale, high-profile events.
- Excellent leadership, communication, and interpersonal skills.
- Customer-service orientation.
- Ability to work both independently and also on a team.
- Displays good judgment and first-class professionalism in dealing with a range of internal and external constituencies and sensitive information.
- Ability to engage on many projects at once; the ability to pivot to different initiatives as needed and troubleshoot for occasions that require an immediate, alternative approach.
- Ability to delegate and be held accountable for delivering in a matrixed environment.
