    Description

     

    BASIC PURPOSE:

     

    The Education Operations Manager is responsible for ensuring that all WHRO Education meetings and all high-level stakeholder meetings (i.e. SAC, EAC, TAC, etc.) are properly supported; all internal and external Education financial transactions are processed in a timely fashion; and that day-to-day Education operations function in a smooth, efficient and timely manner including administrative support, calendar coordination, external customer communications, financial transactions, etc.

     

    EDUCATION/KNOWLEDGE SPECIFICATIONS:

     

    The ideal candidate will have

    • college degree or equivalent demonstrated experience in an office setting,
    • minimum of three years management/administrative experience,
    • minimum of three years accounting/bookkeeping experience,
    • excellent written and verbal communication skills,
    • ability to handle a variety of tasks simultaneously,
    • a high-level of interpersonal skills.

     

    PRINCIPAL DUTIES AND RESPONSIBILITIES (Essential Job Function *)

     

    • Ensure that all Education meetings (C.I.I., HRETA Technology Advisory Committee, HRETA Superintendents Advisory Council, HRETA Educational Advisory Committee, Desire2Learn, etc.) are properly supported in all phases from preparation to final minutes/reports;
    • Ensure that the Education Team is properly supported and that day-to-day operations function in a smooth, efficient and timely manner including administrative support, calendar coordination, external customer communications, financial transactions, etc.;
    • Ensure that all special events and projects in the Education department, such as the Spelling Bee, Great Computer Challenges, and PBS Kids Writers Contest, receive the support they require at any necessary level;
    • Ensure that Annual Impact Statements are accurate and completed by the Tuesday after Labor Day;
    • Support continual improvement of departmental processes and systems, such as information flow and reporting;
    • Ensure that all internal and external Education financial transactions are processed in a timely and accurate manner;
    • Ensure proper maintenance of financial records for Education products and services;
    • Assist in the development of and adherence to the WHRO Education budgets;
    • Facilitate the successful execution and administration of WHRO Education contracts and group purchases;
    • Provide accurate financial reports as requested;
    • Provide timely corporate information to Education staff;
    • Actively participate in all WHRO management/leadership planning/training activities as required;
    • Represent Education on cross-departmental, standing and ad-hoc teams formed throughout the year to work on specific projects (i.e. Operations Committee);
    • Motivate and manage the Education Administrative Assistant;
    • Ensure that the proper Education Team member responds to all HRETA and WHRO Board member requests in a timely fashion;
    • Ensure that all high-level stakeholder meetings (i.e. SAC, EAC, TAC, etc.) are properly supported resulting in smooth, efficient, professional conduct and that subsequent interactions occur in a timely fashion;
    • Performs other job-related functions as required.

    Physical Conditions

    The noise level in the office work environment is usually light to moderate as the Education Operations Manager mostly works in an indoors environment which may include occasional work near office equipment. 

    While performing the duties of this job, the Education Operations Manager regularly is required to use hands and fingers, handle, or feel computer hardware, or handle office equipment; walk or stand for short periods of time, talk, see and hear. The Education Business Manager must be able to lift and/or move up to 10 pounds and occasionally may move up to 20 pounds.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

     

    Other Physical Requirements
    Vision – Must be able to see near and distance while on the job.

    Dexterity – Must be able to use hands and fingers to accomplish work related tasks such as typing, writing documents, using a calculator and keyboard.
    Sense of Sound - Must be able to hear office equipment warning signals, electronics and copier/printer machinery. 

     

    Mental Conditions

    Mathematical Skills:

    Ability to add, subtract, multiply and divide in all units of measure using whole numbers, fraction, and percent’s, decimals, statistics, and counting.

    Reasoning Ability:

    Ability to execute detailed objectives by following written or oral instructions.

    Ability to handle data entry,

    Ability to create, compose, and edit written materials.

    Other Skills and Abilities:

    The Education Business Manager must be able to work well under pressure and communicate effectively when dealing with employees, manager, equipment problems, or complex situations.
