The HR Documentation Specialist will be responsible for overseeing aspects of document compliance within the organization. This role requires meticulous attention to detail, strong organizational skills, and a thorough understanding of relevant regulations and standards. The successful candidate will understand document management practices and can conduct internal audits.
Duties and Responsibilities Include
Essential Functions:
- Coordinate the collection, organization, and retention of both paper and electronic documents in accordance with regulatory requirements and company policies.
- Upload documents and data to the company's database or document management system.
- Ensure that all documentation is updated and organized according to established procedures.
- Maintain efficient document management processes to ensure accuracy, accessibility, and compliance.
- Collaborate with internal teams to coordinate documentation efforts and support project needs.
- Monitor document workflows and identify opportunities for process improvement and optimization.
- Assist in the development and implementation of documentation-related initiatives to enhance efficiency and accuracy.
- Conduct regular audits and quality assurance checks to ensure the integrity and completeness of documentation.
- Provide guidance and support to staff members regarding document-related inquiries, issues, and discrepancies.
