Essential Job Functions:
- Independently establish and maintain a systematic document processes that is easily understandable to all the members of the team and its external parties.
- Oversee and maintain all aspect of document control
- Monitors documents for reviews, approval and ensures deadlines are met
- Process incoming and outgoing documents according to established document control procedures
- Prepare internal and external transmittal's
- Efficiently identify and classify documents according to the different client’s requirements
- Assist internal project team or staff and external parties, representative or personnel in the search and retrieval of documents upon request
- Ensure documents are expedited for processing including filing of electronic and hard copy
- Other duties as assigned
Required Minimum Qualifications:
- Education: High school diploma or equivalent.
- Work Experience:
o Two (2) years experience with Document Control
o Relevant document management and quality control experience
o Current and valid driver’s license, with clean driving record
o Alaska locations only: North Slope Training Cooperative (NSTC) Training
- Post Job Offer Requirements:
o Take and pass a pre-employment drug test
o Alaska North Slope locations only: Take and pass a Fit-for-Duty Examination
Knowledge, Skills & Abilities Required:
- Knowledge of document control and quality assurance
- Knowledge of creating and maintaining documents such as work tickets, invoices, reports, datasheets and lists and drawings appropriate for project needs
- Proficient in MS Office, including Excel, Word and Outlook or other programs commensurate with job applications
- Knowledge of systems database and Sage preferred
- Ability to work independently in a fast-pace environment
- Ability to multitask, set and balance priorities in order to complete projects on time
- Ability to make decisions and recommend appropriate course of action in difficult situations
- Ability to communicate effectively as a supervisor both verbal and written
- Ability to handle stress and possess positive trait even in difficult or challenging situations
Ability to attend training sessions, seminars and appropriate educational classes required by department.
