    Objectives of this Role

    The Document Imaging Specialist efficiently and accurately imports and/or scans, preps, indexes, and reviews documents for all business units within the Bank. Creates and manages electronic records. Performs quality control checks on imaged records to insure the highest level of accuracy throughout the digitization process. It is responsible for maintaining the confidentiality and integrity of the bank records and information. This position does affect the bank’s profitability and success through the reduction of corporate risk and the efficient, accurate imaging of records. The accuracy of the banks electronic and physical records repositories is critical for maintaining regulatory compliance.

    Essential Functions

    • Inspects and approves all prepped and scanned documents to ensure image quality and proper classification
    • Handles both electronic and physical records in a secure, compliant manner
    • Categorizes and indexes documents according to pre-existing hierarchy
    • Scans/Imports documents into Synergy Capture
    • Prepares profiles for examiners
    • Preps paper files for scanning; preparation includes, but is not limited to, removing staples, unbending pages, repairing tears, securing post-It notes to original documents
    • Operate scanning equipment; scan documents of varying quality to meet department specifications by manually feeding batched documents into machinery so as to minimize rescans; clear jammed or double-fed papers
    • Identifies areas of improvement in departmental document workflows
    • Ensures that Record Retention Policy and Schedule are followed
    • Re-scans documents when image is unreadable
    • Adjusts settings on imaging software to compensate for poor image quality of original documents
    • Performs basic equipment troubleshooting and cleaning
