Document Control Manager oversees document and record control operations, policies, and procedures for the secure management and access of company information assets. Establishes security protocols for the access, storage, backup, maintenance, reproduction, protection, and disposition of all documents. Being a Document Control Manager evaluates media formats and recommends storage requirements to protect and secure records/information. Develops and manages access and control procedures to comply with requirements for varying levels of security classifications specified by the governing authority. Additionally, Document Control Manager maintains auditing, monitoring, and change control systems to ensure document integrity, quality, and version control. Typically requires a bachelor's degree. May require security clearance. Typically reports to a director. The Document Control Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Document Control Manager typically requires 5 years experience in the related area as an individual contributor. 1-3 years supervisory experience may be required.     As a Specialist of Inventory Control, you will be responsible for optimization of inventory in Kyocera Document Solutions America and its Subsidiaries and Sales Companies across the United States, Canada, Mexico, Brazil and Chile.

    This role offers a wide range of responsibilities with the opportunity to influence and transform the entire inventory management process. Using your process-oriented mindset, you will actively design the process, collaborate with IT team to design and implement data infrastructure and tools to support data analysis and reporting. You are highly analytical and detail oriented and enjoy analyzing large data sets and extracting insights to inform business decisions.     Responsibilities

    Inventory management Manage the on-hand inventory of Kyocera Document Solutions America including its 10 Subsidiaries, and 4 Sales Companies. Actively collaborate with related departments and organizations to determine corrective action plans to resolve aging inventory issues. Track/report progress of corrective actions and escalate to business leaders, if necessary. Develop and implement inventory control procedures, policies, and best practices to optimize inventory levels and accuracy. Actively collaborate with Kyocera’s Procurement Team in order to improve the effectiveness of our purchasing from our parent company and partners.

     

    Reporting and analysis Provide standard and ad-hoc reporting of supply chain management activities with focus on inventory management, such as inventory forecast and backorder report. Generate regular reports on inventory levels, aging inventory, and inventory movements. Analyze inventory data to identify trends, slow-moving items, and potential risks and proactively take measures before they become real issue. Collaborate with IT team to design and develop data infrastructure and tools to meet data analysisand reporting needs. Develop and implement data cleansing and validation procedures to ensure data accuracy andconsistency. Collaborate with Finance teams to ensure accurate valuation of inventory. Stay up to date with industry trends and advancements in data analysis techniques and tools.

     

    Relationships Work closely with supply chain management team. Daily interaction with internal organizations such as Logistics, Marketing, and IT. Regular interactions with Sales organization in Kyocera Document Solutions America, Subsidiaries and Sales Companies.

    Qualifications

    Required: Bachelor’s degree and 5 years of supply chain management or inventory management experience. Knowledge of inventory management and optimization techniques. Solid knowledge of inventory control principles, including sales forecasting, purchasing, and orderfulfillment. Advanced proficiency in MS Excel, including the ability to perform complex data analysis, createdynamic spreadsheets, and utilize advanced functions and formulas. Advanced experience with PivotTable is a must. Experience in ERP including SAP, Oracle. Strong analytical skills with the ability to gather and analyze data from various sources, develop hypothesis, and problem-solve complex business issues. Strong leadership skills to drive process improvement initiatives between cross-functional organizations. Proven track record of being able to grasp concepts quickly and have excellent follow through. Strong Time Management and Project Management. Excellent people skills enabling collaboration, innovation, coordination, and influence across organizations. Ability to work and interact with all levels of management/departments. Self-directed with the ability to work independently.

     

    Preferred: Knowledge and experience with VBA. Experience with supply chain management systems such as SAP, JDA, Oracle, etc. Experience in project management and leading process improvement initiatives.
