Budget Planning Manager - Odyssey

    The award-winning, multi-generational UW Odyssey Project is a UW-Madison program housed within the Division of Continuing Studies. Through free access to education, Odyssey takes a whole family approach to breaking cycles of generational poverty while focusing on giving adult and youth learners a voice, increasing participants' confidence in reading, writing, and speaking, and creating a supportive community for students as they continue on their educational journeys. Now in its 21st year, this inspirational project has empowered low-income adults to overcome adversity and achieve their dreams by getting a jump start at earning college degrees they never thought possible. Some graduates of the program have journeyed from homelessness to UW-Madison degrees, or from incarceration to meaningful work in the community. Odyssey consists of six programs serving adults and their children and grandchildren, held at the UW South Madison Partnership Space and in several correctional facilities across the state.

    The Budget Director will manage Odyssey's increasingly complex budget and finances. Odyssey has over 25 team members, an annual budget of $3 million, and funding sources ranging from federal grants to private donors. This role includes, but is not limited to, budget creation, grant management, ensuring compliance with UW policies and procedures, and more. To be successful in this role, the incumbent should be self-directed, detail-oriented, organized, collaborative, and thrive in a fast-paced, team environment. The Budget Director will report to the Odyssey Project Executive Director and will collaborate closely with Odyssey Project staff, the Division of Continuing Studies finance team, and the separate 501(c)3 nonprofit Friends of the UW Odyssey Project, which has its own board and treasurer.

    Responsibilities:

    Develops budgetary projections, budgets and prepares financial reports. Provides budgetary guidance to directors and managers. Reviews expenditures to ensure conformance with budgetary guidelines.
    • 20% Develops and monitors budgets and short and long-term budgetary projections
    • 20% Analyzes, identifies, and makes recommendations for cost savings and funding options in alignment with working unit strategic initiatives and unit objectives
    • 10% Conducts program and budget research, analyzes data, and prepares complex financial reports in accordance with established procedures and regulations
    • 10% Assists in the development of operating policies and procedures to comply with regulations, institutional policies, and unit objectives
    • 20% Serves as a point of contact for staff providing budgetary information and guidance, answering questions, and responding to inquiries
    • 10% Takes lead on general grant management, implementation of grant budgets, grant administration, and updating/maintaining the grant calendar and fundraising log
    • 10% Collaborates with Friends of the UW Odyssey Project, Inc. treasurer, the Division of Continuing Studies (DCS), and the Wisconsin Foundation and Alumni Association (WFAA) to track expenses and create budgets

    Qualifications:

    Required Qualifications:
    - 3-5 years experience in managing complex organizational budgets and finances
    - Experience reviewing, interpreting, and applying guidelines, regulations, policies, and procedures related to purchasing, accounting, and grant administration (including for state and/or federal grants)
    - High level of proficiency in Excel, Google Sheets, and/or similar spreadsheet and accounting software
    - Self-motivated and proactive working style
    - Highly organized and detail-oriented
    - Strong written, verbal, and interpersonal communication skills
    - Demonstrated ability to work collegially with a team

    Preferred Qualifications:
    - Two or more years working with financial and grant management systems, policies, and procedures
    - Experience with administration of complex federal and/or state grants
    - Experience with nonprofit financial management, including grant and program budgets
    - Experience using accounting software and/or enterprise systems
    - Experience working with underrepresented communities

    This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
