Distribution Center Manager manages the overall planning, organizing, and operations of a distribution center. Oversees all distribution functions, including order processing, picking, packaging, shipping, and receiving. Being a Distribution Center Manager monitors inventory levels to ensure sufficient levels to fulfill all orders. Balances workloads as needed to achieve production and delivery goals for each shift. Additionally, Distribution Center Manager utilizes software, data, and analytics to optimize operations, track production metrics, and anticipate and resolve problems. Provides the necessary equipment, tools, and training to staff to ensure safe, secure, and efficient operations. Complies with all OSHA and other regulations, policies, safety procedures, and documentation requirements. May evaluate and select transportation or freight services, negotiate contracts, and manage vendor relations. May require a bachelor's degree or equivalent. Typically reports to a head of a unit/department. The Distribution Center Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager.     Oversees and directs the activities of the Off-Site Record Center (ORC), distribution warehouse, mailroom and couriers. Oversees the daily activities pertaining to the receiving, storage, distribution, issuing, transporting and replenishment of supplies, linen and archived records within the organization. Coordinates the work of the Clerk II and Clerk IV Material Handlers responsible for those distribution related functions to ensure all daily needs of the organization are met, participates in the analysis, design, development and facilitation of logistical efforts and integrates best practices.  Oversees the hospital copy center and assists with forms management. Assists with the copier fleet management, linen and freight bill reconciliation and inter-org transfer requests for products. Works in coordination with the other Supply Chain leaders on projects as needed.

    Responsibilities

  • Effectively manages the logistics and replenishment processes throughout the CVPH organization and ancillary support facilities. This includes the daily coordination of work for the distribution team, including shipping and receiving of supplies and linen, and managing supply point areas for both. Manages warehouse and ORC activities ensuring proper receipt and storage of all goods, rotation of stock and ensuring appropriate levels maintained. Assists with oversight and storage of emergency preparedness supplies.
  • Manages warehouse and ORC activities ensuring all assignments are updated, reviews and maintains staff competencies. Oversees and manages all distribution staff and couriers and their vehicles, ensuring all required tasks are completed for the hospital, ensure vehicles are maintained in a safe and clean manner, schedules maintenance as required ensuring alternate vehicles are available for use during such times. Consults with Health Information Management and other hospital resources regarding appropriate Record Retention. Implements appropriate and effective management techniques to ensure execution of record retention requirements in regard to storage, retrieval, transportation and disposal of stored records and material in an efficient and safe manner.
  • Manages reconciliation of invoices for freight and laundry services, and appropriately expenses in a timely manner to maintain current account status.
  • Responsible for cycle counts in warehouse, review of zero/low balance inventory items, prints labels as needed for part carts and inventory locations, generates specific reports as directed on a set schedule (backorder reports for key areas, zero balance, etc). Assist with physical inventories as needed in the warehouse and other locations as requested.
  • Assists with weekly department huddle information, performs safety and other required audits for the Supply chain areas including but not limited to: monthly PPE audits, weekly bone cement audits, supply room and linen cart audits, safe handling and lifting, and equipment checks. Verifies stock rotation and reviews warehouse for outdated material. Reviews linen supply and recommends reorders to maintain supply to our customers/patients.
  • Oversees form management and maintenance of master database of form documents in both Supply Chain and Copy center folders, ensures forms have been appropriately reviewed for content and branding with Health Information Management and provides form numbers and bar codes for all approved forms. Ensures timely turnaround and cost effective printing for all printing requests received and utilizes Brand Hub to generate productivity reports for the copy center and financial information as needed on copy requests.
  • Oversees product recall process, ensuring all recalled items are inspected and/or removed from pars and the warehouse and communicates appropriately with supply Chain leadership of outcome.
  • Assists Director with copier fleet management and placement, reconciles monthly bills for copiers and printers used house-wide, maintains records of all existing and new placements.
  • Oversees staff schedule, schedule change requests and serves as backup to Assistant Director for, reports, inter-org replenishment/transfer requests, MMIS item maintenance and other projects/duties as assigned.
  • Manages mail room activities and ensure prompt and accurate billing for all outgoing mail, maintains reports of internal billing to physicians’ offices, replenishes postage as needed to maintain daily operations.
  • Qualifications

  • Associate or Bachelor of Arts in Business Administration or Healthcare administration preferred, High School diploma required.  Related experience may be accepted in lieu of formal education . 
  • Valid New York State driver’s license required.
  • Minimum 3 years supervisory experience required with a minimum 2 years experience in warehousing, receiving, inventory control, material handling, distribution or transportation of materials to customers/end users.
  • Experience in health care supply chain preferred.
  • Demonstrated supervisory skills, excellent communication skills along with fundamental management skills in planning, organizing, directing, controlling and staffing with an emphasis on customer service are essential.
  • Must be able to make quick and responsible decisions in a stressful environment, solve problems in a timely manner.
  • Experience using an electric pallet jack, regular pallet jacks, and ladders preferred.
