Role Summary:
Join our team as a Area Group Reservations Coordinator for Solage, serving the needs of the business, our guests, and our colleagues by providing prompt, courteous and efficient handling of all group guest room reservations, changes, cancellations and information requests for Solage and the Inn at Mattei’s Tavern. Creating a genuine, informative, and personalized reservations experience for group contacts and meeting planners.
Core Responsibilities :

Working with the meeting planners and group contacts for each of the resorts’ groups to ensure a seamless reservations process for each group.
Works closely with front office, engineering, reservations, sales and housekeeping departments to ensure all rooms details are accurate and complete.
Acting as the lead for group call in reservations, providing training to new associates about groups and ongoing coaching to existing associates.
Blocks group rooms, daily rooms and special request rooms.
Working with the sales managers as well as each resort’s catering teams to ensure a seamless reservations process for each group.
Review all group resumes & ensure all appropriate information is communicated to associates.
Setting the example for Area Reservationists in verbiage and adherence to service standards.
Graciously accommodate guest’s requests; engaging each individual with a smile and appropriate hospitality greeting using the guest’s name.
Managing group pickup tracking - active participant in weekly pickup meetings to ensure groups are adhering to contracted timelines.
Maintaining complete knowledge of the resort and other information including the following:
All resort facilities/services offered and hours of operation
All accommodation types, layout, décor, attributes and locations
All accommodation rates, special packages and promotions
All spa treatments and offerings, their benefits and costs
Daily stats, including availability
Entertainment/special events scheduled on property and in the area
Directions to the resort from airports and other major landmarks
General info, descriptions and directions for local services, restaurants, wineries and points of interests.
Assisting and ensuring effective group challenge resolution. Working closely with fellow guest service associates and other departments to resolve any challenges; ensure follow-through and exceed guest expectations when possible.
Accurately inputting guest contact information.
Ensuring that all billing, routing, and financial transactions are accurately and efficiently executed on behalf of groups.
Communicating clearly with all operating departments to ensure that the needs and requests of the resorts guests are met.
Making suggestions for improvements in overall operations with an emphasis on increasing group, guest, member, and associate satisfaction, while meeting revenue goals and managing costs.
Attending all team meetings and training sessions as scheduled.
Available to work holidays, weekends, and evenings as needed.
Assisting with Transient Reservations as needed.
Performing other administrative tasks as assigned by the Area Director of Reservations.
Required Qualifications:
Minimum two years in a hospitality reservations or guest services position, preferably at a luxury resort.
Ability to clearly communicate in English both verbal and written.
Ability to create professional business letter correspondence.
Must possess gracious people and sales skills, excellent phone manner and ability to engage in a positive manner with each and every guest.
Ability to clearly and pleasantly communicate in English, both verbal and written, using correct spelling and grammar, with guests, co-workers and management to their understanding, both in person and by telephone.
Aptitude with computer database systems, Opera and Ivvy preferred.
Intermediate level skills in typing, and Microsoft Office (including Word, Excel, and Outlook).
Available to work holidays, weekends, and evenings as needed.
College coursework in business, communications or hospitality preferred

Ability to work independently, without direct supervision or as part of a cohesive team.
Ability to ascertain the guest's needs and comply with such to ensure caller's satisfaction.
Ability to process written requests for all manner of reservations.
Ability to maintain discretion and confidentiality of all guest and resort information.
Ability to be well organized, maintain concentration, think clearly and follow up.
Ability to focus attention on details, remain calm under pressure and process requests quickly and accurately. Ability to work cohesively with other departments and co-workers as part of a team.
Physical Demands:
Frequent or occasional need to perform the following physical activities: reaching, bending, pushing, pulling, twisting, lifting, and climbing. Have frequent need to perform standing and walking activities related to inspecting property.
Constant need to perform the following physical activities: grasping, turning, finger dexterity.
Occasional need to stand for long periods of time.
Lifting/carrying up to 10 lbs. frequently and 25 lbs. occasionally.
Vision requirements: constant need to view small print. Frequent need to see small details and things clearly beyond arms’ reach.
Seated work at office at office workstation makes up the majority of physical activity.
Periodic walking for site visits and client visits.
Some driving or air travel required
The starting rate for this position is $23 per hour, plus incentive. This is the pay range for this position that Solage reasonably expects to pay. Decisions regarding individual salaries will be based on a number of factors, such as experience and education.
