Job Summary:
40 hours per week, providing administrative support for the Student Support Services Program Director and assistance for Student Support Services personnel. Performs office management functions such as, but not limited to, data entry, filing, office record keeping, appointment scheduling and answering questions related to the Program.
Essential Functions:
Organizes and maintains office files, student records and is responsible for managing the Student Support Services Program office.
2. Performs data processing duties to provide required reports, correspondence, requisitions, proposals, and other paper work associated with the Student Support Services Program.
3. Handles incoming calls and emails, responding when appropriate and forwarding others to the appropriate personnel.
4. Performs various office functions such as operating/maintaining copy machines, ordering supplies, making travel arrangements for the Program Director and other staff.
5. Performs necessary recordkeeping duties.
6. Creates and organizes Program student data base and other student records and files.
7. Provides managerial support to the Program Director and staff.
8. Assists in maintaining the office and program calendar. Creates, organizes and disseminates monthly newsletter.
9. Participates in staff development and evaluation.
10. Assists in making arrangements for student tours of campuses, local businesses and other student travel.
11. Assists in the training, supervision, and evaluation of Work-study students/Peer Coaches.
12. Maintains Student Access database and data entry for use in completion of Section 2 of the Annual Performance Report sent to the Department of Education.
Other Duties:
13. Performs other duties as assigned.
Accountabilities:
Under the supervision of the Program Director, is accountable for the effective operation of the Student Support Services Program office, providing managerial support for the Program Director and staff.
Job Specifications:
High school diploma required. Associate Degree preferred. Minimum of two years of successful experience in an office position. Strong interpersonal communication skills, organizational skills and confidentiality required. Microsoft Word, Excel and Access required. Experience working in an educational setting preferred. BANNER and CANVAS experience preferred. Person with background similar to target population preferred.
