JOB DESCRIPTION:
The Data Management Specialist has a unique role on this grant. They are responsible for dispatching crisis management services, maintaining records, and will have oversight on maintaining all data associated with this grant including evaluation data. This person will work with staff, the community, students, and families as first contact.
QUALIFICATIONS:
- Bachelor’s degree.
- Two years experience developing and administering databases (Google and Microsoft suites preferred.)
- Strong knowledge of relational databases.
- Proficient in Excel, including VLOOKUPS, Pivot Tables, and developing formulas to capture both alpha and numeric entries.
- Ability to work independently and with a team, multi-task, and work within deadlines.
- Strong workflow management details and rigorous attention to detail.
- Strong organization skills including excellent time management.
- Grant experience is highly preferred.
- Survey experience using Google Forms & reporting results to stakeholders is highly preferred.
- Experience working with families in a high-needs environment is highly preferred.
- Ability to clearly and creatively communicate data as requested.

- Plan and organize work to meet schedules and grant deadlines.
- Cultural awareness and ability to navigate and promote sensitivity with issues of equity.
- Excellent communication and interpersonal skills with the ability to communicate clearly and concisely, both orally and in writing, to a broad range of audiences, comfort using tools and methods to optimize support for a remote staff (distance learning technologies, creative use of video, virtual meeting technologies, etc.).
- Excellent project management skills, ability to balance multiple priorities with proven ability to anticipate challenges, solve problems and maintain a calm demeanor in high-pressure situations.
- Strong analytical, time management, organizational and interpersonal skills.
- Work flexibly in a fast-paced, changing environment with multiple tasks, time constraints and in difficult situations in clinically complex situations
DUTIES AND RESPONSIBILITIES: (Essential Job Functions)
The Dispatch and Data Management Specialist will:
- Be directly responsible to the Wraparound Wellness Specialist.
- Answer the dispatch number from 4pm to 4am seven days a week and dispatch staff, when appropriate.
- Collect all data associated with crisis calls and family demographics on intake forms.
- Collect, compile, analyze, and report data.
- Work with the Specialist and Director to ensure timely submission of data and forms for grant compliance.
- Create and manage data stores to house extracted data from a variety of sources.
- Create user-friendly reports to assist stakeholders in data-driven decision-making.
- Develop protocols to ensure data accuracy.
- Light clerical duties.
- Other duties as assigned.
WORKING CONDITIONS:
School/office environment-walking, standing, squatting, hearing and speaking to exchange information and make presentations; seeing to monitor various activities, read documents, view computer monitor, kneeling, sitting for extended periods of time, reaching overhead, above shoulders and horizontally, or bending at the waist to retrieve and store files; lifting semi-heavy objects; driving a vehicle to conduct work. May be exposed to families who potentially could be violent; has knowledge of techniques to de-escalate verbal and physically aggressive behavior. Evening and overnight duties, as necessary.
