General Description:
The Program Supervisor Data Entry Staff is responsible for providing administrative support to the Healthy Families Program in Safford.
The Program Supervisor Data Entry Staff will assist the Program Regional Director, on-site supervisors, and direct support staff in any administrative needs. This position reports directly to the on site supervisor. They will assist the Program Supervisor in all phases of use of the ETO Entry System. This support includes data entry, maintaining electronic and paper files, and reviewing data reports. This position reports directly to the Cochise County Healthy Families Supervisor.
Summary of Essential Job Functions:
- Provides ongoing administrative support to the Regional Program Director, Program Supervisor, and program staff.
- Maintain and protect the confidentiality of the data and upholds any proprietary associated with hardware/software
- Assist with maintaining Healthy Families Pima County data in the ETO System that includes entering demographic information, developmental evaluations, parent child interaction evaluations, safety information, home visit notes, goals, caseload tracking, and funding tracking.
- Enroll new families into the ETO system.
- Enter data accurately and within funders time requirements.
- Maintain and protect the confidentiality of the data and upholds any proprietary rights associated with hardware/software
- Ensure that the data entry is completed for all families closing out of services.
- Maintain data files accurately, and with confidentiality.
- Participate in PQI activities as determined by the Program Director.
- Provide administrative support to the Program Director, and program staff.
- Attend CFR All Staff Meetings
- Assist Program Director and program staff with organizing and maintaining program data.
- Assist in report generation and preparation.
- Schedules and coordinates meetings and events including notification of attendees, preparing and distributing agendas, scheduling meeting space, meeting room set-up, and ordering food and supplies.
- Answers the telephone and communicates program information to the public.
- Coordinates travel arrangements for Directors, Supervisors, and all program staff.
- Purchases and manages program supplies and equipment
- Maintains inventory of program equipment such as tablets and laptops, as well as Program IT equipment.
- Files and retrieves documents and historical reference materials.
- Creates and maintains program documents, spreadsheets, lists, forms, calendars, and schedules.
- Takes minutes at staff meetings and other collaboration meetings.
- Interacts with external clients as well as internal staff at all all levels.
- Attends All Staff meetings and other meetings upon request;
- Performs other duties as assigned.
Requirements:
- Strong written and verbal communication skills. Exercises discretion in acquiring and disseminating confidential information.
- Strong interpersonal skills including ability to effectively work with the public, clients, and staff
- Ability to establish and maintain accurate records.
- Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook, as well as working knowledge of database management systems and virtual platforms.
- Excellent organization skills, attention to detail and ability to multitask.
- Must be able to be certified in CPR/ First Aid.
- Valid AZ driver's license with clean driving record, insurance, and vehicle required.
- Adheres to agency policies and procedures
- Meets department performance standards
- Ability to obtain a level one-fingerprint clearance card.
- Bilingual is desired.
Ability Requirements:
- Sitting for extended periods of time daily; standing and walking short distances.
- Moderate twisting, bending, stooping, and lifting up to 40 pounds in the performance of assigned duties.
- Normal manual dexterity and eye-hand coordination are required.
- Repeated hand-wrist movement is required.
- Ability to use a variety of office equipment and machines as referenced.
The nature of the position involves a fast-paced working environment with multitasking of many different duties and tasks. General daily priorities may change at a moment’s notice and the position requires quick response time and flexibility.
