People HRIS and Analysis Administrator

  • ESSENTIAL DUTIES AND RESPONSIBILITIES: May perform other duties as requested or assigned.

    The People HRIS & Analysis Administrator is the in-house expert for the People Team Technology. The role collects and analyzes data to improve and inform People strategies and processes and lead the team in automating and configuring core People processes. The role assists with ensuring data integrity, testing system changes, and analyzing data flow for process improvement opportunities. Plays an important role in defining the Technology Roadmap for People Systems and how the People database systems can be optimized to provide an exceptional employee experience and streamlined, efficient People processes. Collaborates with compensation, benefits, rewards, payroll administration, L&D, Internal Communication to manage People HR systems. Cross trains with multiple departments to ensure knowledge transfer of systems is distributed among team. Provides backup support to Total Rewards and Payroll functions to ensure coverage and continuation of services during out of office time.

    Benefit and Leave Management Administration

    • Coordinates with People Operations team to provide needed data feeds and analysis for multiple outside carrier systems
    • Works closely with Total Rewards to ensure annual open enrollment is accurately built to create a favorable employee process
    • Collaborates with Total Rewards to ensure information for Benefits, Leave Management, compliance, annual testing and audit documentation are provided
    • Conducts monthly auditing of Benefit and Leave Systems including outside carrier systems.

    Compensation, Rewards and Payroll Administration

    • Strategizes with HR Leadership to implements compensation, benefit programs, policies, system set-up, administration and updates. Works as key point of contact with HR Systems consultants
    • Works with People Operations in the management of compensation related matters
    • Collaborates with payroll to ensure completion of accurate processing, audit and timely filing of all related reports
    • Provides analysis, reporting and data implementation for annual Merit/Incentive programs
    • Coordinates month-end closing process and reporting for all payrolls maintaining an orderly, accurate, and secure filing system for record retention
    • Conducts monthly auditing of Compensation, Rewards and Payroll Systems

    Reporting, Analysis, Project Management

    • Creates reports and partners with technology teams and vendors to manage CU Key Performance Metrics, management dashboards, goals to enable data solutions
    • Develops/Maintain prescriptive and predictive Analysis, Reporting, Graphs and Presentations for multiple audiences from tactical frontline to executive summary
    • Participates as a project team member in system and data-related projects for the People Team and across the organization.
    • Act as a consultant and SME for major project teams and provide solutions/suggestions for best practices
    • Lead/Develop descriptive and diagnostic reporting/analysis projects
    • Prepares, files and provides updates to HR Leadership of all year-end forms and filings
    • Manages data collection/submittal of compliance reporting for EEO, AAP, Vets and Benefits administration as well as Data Governance activities
    • Provide testing and validation of new datasets

    HCM Management and Administration

    • Technical POC and Lead of configuration, integration, system testing, security administration, and maintenance of all People systems including SumTotal, UKG and other People software and workflows
    • Implements change management process including software and applications upgrades to meet changing business and technology needs
    • Manages permissions, access, personalization, and similar system operations and settings for CU users
    • Collaborates with end-users to identify areas of improvement; implements functional solutions for existing processes identified by the People Management team and assist in department wide projects
    • Ensures data integrity by performing routine People Systems audits
    • Coordinates with the Information Technology team; provides support and project management for third-party integrations, such as background check vendors, job posting sites, Benefits etc.
    • Creates documentation of all current and new People Systems workflows for efficiency and compliance
    • Provides routine reporting/analysis/audits of People Systems data including Benefits, Payroll, Talent Acquisition, Employee Relations, L&D and management as needed
    • Remains current on People Systems trends, technology, industry best practices, federal, state and local employment laws and regulations
    • Ensures system compliance with data security and privacy requirements and follows CU Data governance expectations
    • Oversees paperless onboarding and employee record management (I-9, E-Verify, electronic personnel files)

    EDUCATION AND EXPERIENCE

    • 3 years experience administering UKG data management including all People systems modules
    • 2 years experience in analysis, business intelligence, IT or related field
    • 3 years reporting/analysis within HR Databases
    • High School degree or equivalent required
    • Bachelors degree in Data Analytics, Computer Science or related degree preferred (or equivalent work relevant experience)
    • PHR/SHRM Certification preferred (or the willingness to obtain)
    • Proficiency with data visualization tools (Tableau, Qlik, Power BI etc) preferred
    • Proven collaboration skills with employees and vendor partners
    • Ability to work independently or as a collaborative member of a highly productive team
    • Prior experience and confidence in presenting to groups, leadership and senior management
    • Strong understanding of data management and statistics principles
    • Advanced level knowledge of HR System Databases
    • Thorough knowledge of federal, state, and local employment laws
    • Exceptional communication skills, both written and verbal and data visualization
    • Advanced knowledge in Excel reporting and data management including Pivot Tables, VLookups, mail merging
    • Strong project management skills
    • Thrives in a fast-past and changing environment
    • Knowledge of payroll rules, regulations, processing procedures, record keeping, and control systems
    • Highly technical and analytical
    • Ability to remain strict confidentiality and handle sensitive information

    SUPERVISION

    This position has no direct supervisory responsibilities
