Corporate Secretary executes and maintains all required official corporate filings, documents, reports and records according to applicable laws and regulations. Responsible for shareholder relations, communicating with Board members and coordinating shareholder lists and registrations. Being a Corporate Secretary researches and responds to shareholder requests for information. Manages the coordination of Board and shareholder meetings and the preparation of all necessary agendas and documents required for the meetings. Additionally, Corporate Secretary the incumbent in this role is usually an officer of the corporation. May require a Juris Doctor degree. Typically reports to top management. The Corporate Secretary manages a departmental function within a broader corporate function. Develops major goals to support broad functional objectives. Approves policies developed within various sub-functions and departments. Comprehensive knowledge of the overall departmental function.   • Thompson Thrift is seeking to hire a Full-Time Administrative Assistant for our office in Terre Haute, IN. The role of this position is to provide broad clerical, administrative and secretarial support duties for the business unit. 

     

    Duties & Responsibilities

    • Assist in report preparation and creation.
    • Log, track and prepare information for reporting.
    • Take meeting minutes, type and distribute to the appropriate personnel.
    • Establish and monitor procedures for record keeping and ensure confidentiality of data is maintained.
    • Ensure filing systems are maintained and current.
    • Coordinate schedules, appointments and bookings.
    • Manage travel arrangements for the various team members when required.
    • Maintain a safe and secure working environment.
    • Event Coordination and management.
    • Other duties may be assigned as needed.

     

    Qualifications

    • High school diploma/GED. Associate's degree preferred.
    • At least 1 year of experience providing administrative support to leaders within an organization. 
    • Computer skills, including proficiency with Microsoft Office software systems (Word, Excel, Power Point, Outlook) and SharePoint.
    • Outstanding customer service ability.
    • Demonstrated ability to manage multiple concurrent tasks while continuing to meet deadlines.
    • Ability to work under pressure.
    • Exceptional problem-solving, analytical, organizational and time management skills.
    • Excellent verbal and written communication skills.
    • Strong work ethic displaying consistent dependability, reliability and initiative.
    • Must be able to flourish in a team based environment.

Performing this job will sometimes require the employee to walk work sites that do not have infrastructure, this includes walking on uneven surfaces, through mud, through ruts, etc. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

While performing duties of this job, the employee regularly works in an office or remote setting. The noise in the work environment is usually quiet to moderate in an office setting. The noise in the construction work environment is usually moderate to loud. The employee is required to work in compliance with company safety policies, procedures, and applicable laws.
