Overview
We are seeking a highly organized and detail-oriented Office Assistant/Project Manager to join our team. You will play a crucial role in ensuring the smooth operation of our office. The ideal candidate will have excellent organizational and communication skills, as well as proficiency in Excel, Outlook, Quickbooks, and other office management software.
Responsibilities
- Answer phone calls and respond to inquiries in a professional and courteous manner.
- Maintain office supplies inventory and place orders as needed
- Handle incoming and outgoing mail.
- Assist with file management, including organizing and maintaining both physical and digital files
- Schedule appointments and meetings.
- Assist with vendor management, including obtaining quotes, placing orders, and resolving any issues that may arise.
- Assist in creating estimates and invoices.
- Visit job sites to ensure safety procedures are being followed.
- Track job progress by reviewing employee timecards.
- Assist in new hire intake and properly document information.
- Support the office team with various administrative tasks as needed
Requirements
- Excellent communication skills, both written and verbal in English and Spanish
- Proven experience as an Office Assistant or similar role.
- Knowledge in some construction terminology preferred.
- Proficiency in QuickBooks and other office management software preferred.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and accuracy in all work performed.
- Professional phone etiquette and customer service skills.
- Previous experience in a clerical or administrative role is preferred.
- Must have reliable transportation.
