  • Purpose of the Role:

    Pico is interested in hiring a well-organized and responsible professional to assume a position as Contracts Administrator and/or Contracts Operations within the Sales Operations department. Sales Operations personnel will have strong project management skills, attention to detail, outstanding oral / written communication skills, and will thrive within a fast-paced and, at times, demanding environment. The Sales Operations Contracts Administrator is responsible for supporting the business processes and workflows of Pico’s sales team and will therefore have a direct impact on the success of our company. This position will interact daily with internal legal teams, sales and account management, finance, and management.

     

    Role: The role will encompass key areas of contract practice including:

    1. Contract administration: review and preparation of form contracts;
    2. Contract management: management, organization, and storage of company documentation;
    3. Automation: Assisting the Company to scale its legal function through improved processes and automation; and
    4. Salesforce CRM Engagement: deal management, tasks, and controls related to contract management

    Responsibilities:  Work and collaborate with the Legal Department and Sales/Account Management by preparing drafts of various contracts and agreements and/or reviewing same, maintaining contractual documentation and ensuring compliance with company policies and procedures. Responsibilities also include maintaining contract files and records and addressing basic contract inquiries.

     

    Additional Responsibilities and Duties (include but not limited to)

     

    • Developing and implementing organizational and management processes and procedures for consistent production and storage of company agreements, including assisting with the implementation of technology-based solutions to facilitate the contracting process.
    • Performing certain due diligence related to clients and vendors
    • Active involvement in regional and global contract management initiatives
    • Working with Pico’s attorneys to develop parameters for sorting agreements and analyzing and entering terms, e.g., expiration, notice, confidentiality terms, etc.
    • Support Sales & Account Management team in providing contracts and service orders based off Legal approved templates
    • Interface with Legal on non-standard Service Orders for incoming client requests
    • Other duties as assigned, which may include corporate filings

    Education, Skills and background (incl. Education and Experience Requirements)

    • Associates degree or higher in Business Administration, Accounting, Procurement and or Law or Finance strongly preferred.
    • 5 years of experience as a commercial contract paralegal or contract administrator, with experience interfacing with clients and working with attorneys.
    • Experience with contract management tools, templates, methods, and processes.
    • Experience reviewing, digesting, and summarizing legal agreement terms.
    • Experience working at a law firm and/or in-house legal department.
    • Excellent oral and written communication skills
    • Ability to multitask and meet changing deadlines.
    • Ability to prioritize among multiple projects while maintaining a high degree of accuracy and strong attention to detail, in a fast-paced environment with frequent interruptions.
    • Ability to develop and maintain effective and collaborative working relationships.
    • Must be self-directed and able to complete projects with limited supervision.
    • Maintains company, client, and staff confidentiality.
    • Working knowledge of Microsoft Suite to include but not limited to Microsoft Excel and PowerPoint.

     

    Working Arrangements (Build into Template) 

    This is a Hybrid position with weekly time in the office with the flexibility of working from home. Though travel may be required from time to time, it is not expected to be regular or frequent. The role holder will be expected to work whatever hours are necessary for the performance of this role (recognizing that it involves multiple jurisdictions/geographies including but not limited to EMEA, USA and APAC).
