Contracts Administration Manager prepares and administers bids, proposals, and commercial and government contracts that follow company policies and legal requirements. Manages the contracts administration staff and guides compliance with complex contractual and regulatory requirements. Being a Contracts Administration Manager negotiates with suppliers, partners, or customers. Ensures contracts are administered and monitored to maintain compliance with the terms of agreements. Additionally, Contracts Administration Manager has a strong understanding of the contract life cycle, types of contracts, and applicable government regulations. Typically requires a bachelor's degree or equivalent. Sometimes requires certification like the NCMA Certified Professional Contract Manager (CPCM). Typically reports to a director. The Contracts Administration Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Contracts Administration Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     This role is a blend of supporting proposal coordinators working directly in CRM, generating, and analyzing sales reports, and directly negotiating capital equipment sales contracts of varying values.

    Essential Job Functions:

    • Lead and manage a team of roughly 10 professionals, including proposal coordinators, administrators, and contract administrators. Management includes hybrid work schedules.
    • Develop team KPI’s to ensure engagement and manage performance.
    • Steward a budget of approximately $1.5 million, including salaries and operational expenses.
    • Oversee the Customer Relationship Management (CRM) function, ensuring effective utilization and optimization of CRM tools.
    • Provide dedicated support to proposal coordinators within the CRM system, ensuring consistency in data entry and methodologies, system updates, and addressing CRM-related queries.
    • Train sales professionals in CRM and Lifecycle Management (LCM) software systems usage and best practices.
    • Monitor proposal, estimate, and contract deliverables generated elsewhere in the company to ensure quality, accuracy, and timeliness.
    • Manage the Contract Lifecycle Management (CLM) software function, ensuring seamless contract processes and compliance.
    • Serve as point communicator in negotiating large capital contracts of varying values, incorporating review and input from multiple stakeholders.
    • Ensure contract terms align with company policies and legal requirements.
    • Collaborate with legal and finance teams, working within corporate governance structure to finalize and execute contracts.
    • Work with VP of sales to generate comprehensive sales reports using Power BI, encompassing data such as customer lists, forecasting, key opportunity lists, revenue analysis, and capture rate evaluation.
    • Analyze sales data to provide actionable insights and contribute to strategic decision-making.
    • Collaborate with cross-functional teams to align sales efforts (estimates and proposal deliverables) with organizational goals.

    Education: Bachelor's degree in Business, Finance, or a related field;

    Experience: Generally, 5-10 years of experience in a related field.

    Minimum Qualifications:

    • Proven experience in supporting CRM functions, data analysis, and contract negotiations
    • Strong analytical and problem-solving skills.
    • Excellent negotiation and communication skills.
    • Ability to manage multiple priorities and deadlines.
    • Ability to lead a multi-disciplinary team.
    • Proactive and results-oriented professional with a keen sense of urgency and a commitment to meeting deadlines.
    • Proficiency in Microsoft CRM administration and customization.
    • Advanced skills in Power BI for data analysis and reporting.
    • Advanced skills in MS Word, MS Powerpoint, and MS Excel
    • Familiarity with contract negotiation processes.
    • Familiarity with large capital project contract structures, terminologies, and methodology.

    Preferred Qualifications:

    • Master's degree or MBA
    • Experience in capital projects and/or in the field of water and wastewater treatment is a plus.
