POSITION SUMMARY: The Grants/Contracts Coordinator holds a position of high responsibility, ensuring all grants and contracts are executed, stored, and tracked with utmost fidelity. This role is a trusted intermediary between the external funder, staff, and funded partners. We are seeking a highly organized and detail-oriented individual with a service and collaboration mindset to organize and manage proposals from organizations seeking funding and all other grants and contracts. As a critical team member, the Grants /Contracts Coordinator will facilitate the grant process from partners, from initial application review to contract management. Additionally, this person is entrusted with tracking funding, reports, and storing all other Ready for School, Ready for Life grants/contracts, maintaining our high standards and contributing to the mission and the values of collaboration, transparency, inclusive, evidence-informed, equity-driven, and responsive to family voice.
RESPONSIBLE TO: Vice President of Finance and works collaboratively with Program Leads.
Responsibilities:
● Grant Application Management:
○ Receive and review grant proposals from prospective organizations.
○ Ensure all proposals are complete, compliant, and aligned with our funding criteria.
○ Coordinate with program staff (internally and externally) to assess proposal feasibility and alignment with organizational goals.
● Due Diligence:
○ Conduct thorough due diligence on prospective grantees, including financial analysis, organizational capacity assessment, and program evaluation.
○ Correspond with The Duke Endowment regarding proposals and due diligence process.
● Application Process Facilitation:
○ Serve as the primary point of contact for grant applicants, providing guidance on the application process and requirements.
○ Assist applicants in navigating the grant application form and addressing any technical issues.
○ Coordinate communication between internal stakeholders and external applicants throughout the application process.
● Contract Management:
○ Collaborate with Ready Ready’s attorney and finance staff to develop and review grant agreements.
○ Ensure timely execution of grant contracts and adherence to funding terms and conditions.
○ Monitor grant progress and compliance, including reporting requirements and milestone achievements in collaboration with appropriate staff.
● Data Management and Reporting:
○ Maintain accurate records of grant applications, funding decisions, and grantee information.
○ Keep a timeline of report due dates. Work with staff to ensure timely submission of reports on grant activities, funding allocations, and impact assessments for internal and external stakeholders.
Ensure all grants/contracts are stored electronically.
REQUIREMENTS:
● Proven experience (3 years) in grants/contracts management, preferably within a nonprofit organization or philanthropic institution.
● Strong understanding of grantmaking processes, due diligence procedures, and contract management principles.
● Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
● Highly organized with meticulous attention to detail and the ability to manage multiple projects simultaneously.
● Demonstrates a strong desire to learn and utilize new processes.
● Ability to synthesize, interpret, and report on information gathered through the grant and contract management process
● Proficiency in Salesforce, Microsoft Office Suite, and Google Applications

SALARY: $65,000 - $73,000 per year based on experience
