    Purpose:

    To provide professional, functional, and efficient technical support to events facilitated by the ECS office; to provide training and leadership of student technicians; to provide collaborative administrative support to the ongoing implementation of ECS strategic planning and development, as directed by the ECS Director and ECS Manager; to assist with coordination of ECS events and box office.

    Essential Duties and Responsibilities:

    Technical Services

    • Provide audio/visual technical support for internal and external ECS client events through participating in planning meetings, managing the set-up, and executing the event personally or providing qualified student techs.
    • Oversee maintenance and location of audio/visual equipment (alongside the IT dept.) in The Bell Center and the Cunningham Center.
    • Provide training of student technicians and scheduling them for ECS client events.
    • Proactively identify relevant learning and professional development opportunities to pursue.
    • Offer to support MNU Productions in maintaining equipment and training student(s) that will support ASG events.
    • Collaborate with ECS and internal clients on future technical needs in The Bell Center and The Cunningham Center.
    • Perform other technical duties as may be assigned.

    General Client Services

    • Assist with recruitment and screening of new client business, in collaboration with ECS leadership; participate in client site inspections and/or pre-event planning meetings.
    • Liaison between clients and University service providers regarding event-specific details and requirements such as (but not limited to) the following:
      • Audio-visual/production – equipment/tech requirements (existing vs. supplemental/rental), staging, etc.
      • Function space usage – room/space reservations, room configurations and set-up details (tables, chairs, etc.), housekeeping schedule, access hours, temperature programming, electrical requirements, etc.
    • Assist ECS leadership in compiling comprehensive client résumés for internal ECS reference and for distribution to campus service providers, such as Facility Services, Housekeeping, Information Technology, Campus Safety, Residential Life, Pioneer College Caterers, MNU Productions, Admissions, Marketing, and facility managers.
    • Ensure that adequate personnel are assigned for all calendared client events in their respective campus venues.
    • In conjunction with other Client Services Coordinators (and, when applicable, ECS student workers), provide primary ECS presence during weeknight/weekend client usage.
    • Serve as client interface with ECS student techs during rehearsals/performances and other contracted facility usage (shared role among ECS Client Services team, depending on availability and/or assigned coverage)
    • Assist as assigned with University’s summer conference program providing client tech support services as required in conjunction with ECS Manager.
    • Assist with venue set-up in preparation for client occupancy, including but not limited to tables, chairs, audio-visual, signage, table linens, décor, etc.
    • Coordinate preparation of and regular updating of event-specific signage
    • Maintain awareness of and familiarization with the University’s emergency preparedness practices and procedures (including applicable evacuation routes, shelter locations, and response procedures); communicate applicable procedures to client organizers; assist in monitoring circumstances that may trigger the implementation of emergency response strategies; provide leadership as pre-assigned during any such emergency scenarios

    Administrative & Support Services

    • In collaboration with ECS leadership, contribute to the master events calendar to ensure comprehensive, accurate, and timely awareness of campus events and facility usage.
    • Contribute to and/or create reports (budgetary, usage, occupancy, etc.) as requested by ECS leadership.
    • Assist ECS leadership in developing job descriptions for ECS student workers and, as requested, participate in the initial recruitment/screening process.
    • Perform other administrative duties as may be assigned.

    Financial

    • Assist ECS leadership in the execution of client contracts/agreements; communicate with clients and/or University service providers, regarding actionable deadlines, performance thresholds, and/or rider obligations.
    • Assist ECS leadership in invoicing clients – including any applicable advance deposits and final post-event balance due – according to agreed-upon pricing matrices and payment schedules.
    • Perform other financial duties as may be assigned.

    Other

    • At all times, represent ECS and MidAmerica Nazarene University in a professional, Christ-like manner.
    • Willingness to introduce and drive innovative thoughts and ideas in small and large ways.
    • Maintain consistent communication with ECS leadership and other ECS team members.
    • Provide supplemental event support as may be requested/needed outside of “normal” working hours during special University events and/or during peak client occupancy.
    • Maintain a flexible work schedule – heavily evenings and weekends throughout the year, as necessitated by university programming and other usage … and, during summer months, as required by client programming
    • Perform other duties as assigned.

    Qualifications


    Education and/or Experience:

    • Bachelor’s degree preferred.
    • Experience with PC and Apple computers and relevant operating systems.
    • Experience and skill with setting up, operating, and maintaining A/V equipment typically used for activities across a college campus, to include theatre productions, concerts, lectures, video conferencing, student rallies, etc.
    • 1-2 years of experience. Experience in higher education is a plus, but not required.
    • Strong communication and organization skills required, including the ability to engage coworkers, clients, and guests (general public) clearly and professionally Ability to interact and work with others, and under time constraints and deadlines.
    • Ability to occasionally lift/carry/move objects up to 40 lbs., occasionally more.
