  • Job Summary

    We are looking for a Lead Administrative Assistant to perform office operations and upkeep and other clerical duties. This position will be a full-time 12 month contract role and on-site.

    What You'll Do

    • Be familiar with standard concepts, practices, and procedures
    • Rely on limited experience and judgment to plan and accomplish goals
    • Certain degree of creativity and latitude is required
    • Work with vendor to establish best practices and communicate issues
    • Write and maintain standard operating procedures that can be followed by team members
    • Managing one's own time and the time of others with limited supervision
    • Train and coach team members on best practices
    • Use Excel to run reports and maintain inventory
    • Locate and correct data entry errors or report them to supervisors
    • Maintain logs of activities and completed work
    • Compile, sort, and verify the accuracy of data before it is entered
    • Compare data with source documents, or re-enter data in verification format to detect errors
    • Store completed documents in appropriate locations
    • Select materials needed to complete work assignments
    • Read source documents such as plans, applications, and paper files, and enter data in specific data fields, using keyboards or scanners
    • Download data from the web and import to custom database user interface software
    • Resolve unclear or poorly visible information by communicating with others
    • Work with Vendor to coordinate pick-up and drop-off schedules

    What You'll Need

    Required:

    • Experience with data types contained in engineering plans, applications and permits
    • 1 year of experience supervising the work of office/admin/customer service employees to ensure adherence to quality standards, deadlines, & procedures
    • 1 year of experience providing employees with guidance in handling difficult or complex problems.
    • 5 years of experience writing procedures and training others
    • 5 years of experience compiling, coding, categorizing, calculating, tabulating, auditing, or verifying information or data.
    • 5 years of experience providing information to supervisors, co-workers, and vendors by telephone, in written form, e-mail, or in person.
    • 5 years of professional experience in an administrative/data entry role performing the duties as described in the job description.
    • Experience converting Word to PDF, binding multiple PDFs into one, redacting text, and highlighting in Adobe Acrobat Professional
    • Experience using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
    • Microsoft Office products (e.g., Word, Excel, Outlook)
    • Exceptional communication skills required as team lead will have significant interaction with team members in various levels within agency

    Physical Demands

    • Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards
    • Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
    • Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
    • Ability to lift a full banker's box (approximately 35 pounds)
