  • Summary:

    The Scheduling Coordinator is responsible for setting up the plan and shifts in scheduling software for the clients. The Scheduling Coordinator works closely with the HR Recruiter and Client Services Specialist to ensure that the caregivers assigned to the cases are an appropriate match for the client. The Scheduling Coordinator is responsible to verify all criteria of client and caregiver before assigning the caregiver to the case. The Scheduling Coordinator is responsible for providing consistent and stable calendars for the clients.

    Qualifications:

    • Detail oriented
    • Able to multi-task
    • Ability to read and write using proper grammar and ability to communicate appropriately with all levels of staff
    • Previous staffing/scheduling experience, preferably in a Home Care capacity.

    Essential Functions:

    • Create calendar plans for new clients, and revise current plans as client’s needs change.
    • Designate caregiver assignments for available shifts.
    • Make monthly client calendars for new and ongoing clients (assigning staff to shifts needed).
    • Provide copies of clients' monthly calendars to clients by the last week of the previous month or at any time there are changes to their calendar.
    • Review care plan with caregiver on each new assignment, using the Assessment Notes completed by the Client Services Specialist.
    • Provide copies of caregivers' monthly calendars to them by email by the last week of the previous month or any time there are changes in their calendar.
    • Instruct Caregivers to accept shifts through mobile App.
    • Provide updates on assigned staffing or scheduling changes to Client Services Specialist, On-call Coordinator and HR when appropriate.
    • Communicate with Clients/Families on staff changes or to address concerns regarding staffing.
    • Communicate with employees any problems or changes in client needs, as assessed or directed by Client Services Specialist.
    • Document all communications using the appropriate tag or tags.
    • Communicate with Client Services Specialist and Recruiter, the needs/shortages of staff (for hiring purposes).
    • Remain current on staff availability.
    • Communicate with HR department regarding caregiver issues or illness.
    • Discuss any issues needing approval for OT with Director.
    • Keep apprised of any potential clients (prospects) and their upcoming needs.
    • Make sure "introductions" are scheduled and Client Services Specialist is advised of time and date.
