    Napa Valley College is seeking an individual with demonstrated administrative skills to join an outstanding team of faculty, staff, and administrators to provide high quality programs and services to our district, our community, and most importantly, our students. In support of the Napa Valley College District's mission, Public Affairs & Communications creates awareness and shares the story of Napa Valley College and its impact on the community. The team develops and executes strategic marketing communications campaigns, implements the district's governmental relations; and serves the college community by offering publicity, promotion, advertising, social media, marketing, and branding support. The office also acts as a resource before, during and after emergency situations by providing guidelines and information to help manage crisis situations.   

     

    The incumbent in this position will be providing support for daily activities of the Public Affairs and Communications department; supervising assigned services and activities; assisting with the strategy, development and delivery of information to inform students, staff and the community about college programs, events, accomplishments and services through various communications and personal contact; and achieving objectives by coordinating and maintaining services in compliance with policies, rules, regulations and established guidelines. This is a classified-administrative position. 

     

    This job reports to the Director, Public Affairs and Communications. 


    This is a full-time, 12-months-per-year, classified administrative position. The salary has an appropriate placement on Range 15 of the current Administrative/Confidential salary schedule.  Initial salary placement is $7,208 to $7,947/month, with future steps up to $10,143/month.  Placement on the salary schedule is commensurate with experience. The college offers a fringe benefit package including medical, dental, vision, disability and life insurance, employee assistance program, and retirement system membership. The assignment includes 20 paid holidays, 22 vacation days, and 12 days sick leave annually. 

    Essential Functions:
    • Serves as the lead for internal communications, focusing on strategic priorities for the purpose of building relationships to stay informed about key programs, events, successes, deadlines and other information. 
    • Collaborates with other departments and compiles information from a wide variety of sources (e.g. staff, students, committees, programs, etc.) to identify communications issues and opportunities, ensuring compliance with organization policies and procedures. 
    • Communicates with administrators, personnel and outside organizations for the purpose of supporting the Director with key campus initiatives.
    • Creates and leads a plan for campus culture communications (e.g. written, verbal, visual, online and experiential opportunities, etc.) for the purpose of engaging students, staff and faculty in the organization’s vision, mission and values.
    • Implements assigned initiatives, activities and/or projects (e.g. back-end communications process flow design, writing, editing, stakeholder engagement, communications education, intranet, District website maintenance and management, etc.) for the purpose of enhancing systems and/or processes to improve experiences for student enrollment and ensuring department outcomes are achieved.
    • Maintains a variety of manual and electronic files and/or records (e.g. statistical data, webpage, databases, etc.) for the purpose of ensuring the integrity and availability of documentation in support of student educational goals.  
    • Participates in meetings, workshops and seminars for the purpose of conveying and/or gathering information required to perform functions.
    • Represents Director of Public Affairs and Communications in their absence for the purpose of conveying and gathering information required for efficient/accurate operation of the department.
    • Researches a variety of topics for the purpose of developing new programs/services, ensuring compliance with relevant requirements, securing general information for planning, taking appropriate actions, and/or responding to requests.
    • Responds to a wide variety of calls, concerns and/or complaints for the purpose of resolving problems, providing information, referring to appropriate personnel, and/or recommending a plan of action that efficiently resolves issues.
    • Serves as the primary contact between the department and Institutional Technology (IT) (e.g. develops communications plans, writing, editing and counsel for planned and unplanned IT communications, etc.) for the purpose of ensuring necessary communication.
    • Supports assigned programs and/or departmental responsibilities (e.g. internal staff and student communications, college and Newsroom websites, newsletters and occasionally marketing, advertising, social media, etc.) for the purpose of achieving organizational objectives and compliance with legal and financial requirements. 
    • Thinks proactively for the purpose of identifying communications issues and opportunities.
    Other Functions:
    • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

    Responsibility:

    Working Environment:
    The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.

    Job-related experience with increasing levels of responsibility.

    Bachelor’s degree in job related area.

    Desirable Qualifications
    • At least five years of experience related to the administrative assignment 

    • Knowledge and experience in  communications and using communications to enrich a culture in an institutional setting.  

    • Experience with web production, project management, visual design and image editing 

    • Experience with Adobe Creative Suite platforms 

    • Experience working with Content Management Systems, e.g. WordPress, Drupal, etc. 

    • Ability to communicate effectively orally and in writing.
