Commercial Leasing Manager manages and directs the daily activities of the leasing operations department in accordance with organization policies and standards. Responsible for all leasing functions, which may include reviewing and negotiating lease transactions and agreements. Senior Assistant Property Manager will be assisting mainly Denver Metro are office but may be from time to time asked to assist Colorado Springs area office
1. Answer phone calls
2. Request vendor change “Bill To” as needed
3. Add vendors in Breeze as necessary
a. Request W-9 and certificates of insurance (COI) as needed
4. Work Orders Administration as needed/requested by Property Manager
a. Follow up with vendors that have open work orders
b. Prioritize work orders to be completed for the maintenance staff/follow up on work orders
5. Contact vendors for repairs as requested by Property Manager
6. Send Memos to tenants as requested
7. Run errands as requested
a. Open buildings
b. Meet vendors at properties
c. Meet tenants at properties
d. Inspect properties
e. Meet property inspectors/lender inspectors at properties for property inspections
f. Perform janitorial walks for office buildings making sure tenants are satisfied
g. Perform tenant move-in/move-out walk throughs and create reports of condition of spaces
8. Update vendor rosters for each property
9. Provide vendors with property key box codes
10. Update tenant rosters for each property that are not in breeze
11. Send reminders and collect certificates of insurance (COI) from all tenants
12. Fill in for Property Manager/Administrative Assistant when they are absent from the office
13. Scan and organize files on the server
14. Obtain times sheets from Office Manager? for maintenance staff, code time sheets for Property Manager’s approval.
15. Prepare vendor service agreements for Property Managers review and signature
16. Collect bids for projects/services as requested by Property Manager
17. Follow up on delinquent rents as requested by Property Manager
18. Prepare templates for annual property budgets for Property Managers
19. Prepare templates for annual CAM reconciliations for Property Managers
20. Prepare first draft of narrative for monthly financial statements for Property Managers
21. Assist Property Manager with searching lease documents for a lease clause/language
22. Create manuals for assistant’s duties/and other manuals that may need to be created
23. Any other duties that will be needed to fully assist Property Manager(s).
