Clinical Administrative Coordinator is responsible for overseeing the daily operations of an assigned unit or clinic section within a hospital. Schedules employee shifts and ensures admitting and discharge functions are providing for optimal patient flow. Being a Clinical Administrative Coordinator ensures that hospital resources are being used in the most efficient manner. Assigns patients to appropriate health practitioners. Additionally, Clinical Administrative Coordinator may perform other administrative functions as necessary. May require a bachelor's degree in area of specialty. Typically reports to a supervisor or manager. To be a Clinical Administrative Coordinator typically requires 2 to 4 years of related experience. In this vital role you will have work assignments complex in nature requiring absolute discretion and confidentiality, as well as considerable tact, judgment, creativity, and initiative in resolving issues. The AC must also be able to manage multiple priorities in a continually changing environment.

    • Proactively assist with multiple executives’ calendars with multiple priorities, across global time zones, ensuring that the EDs and organization are appropriately represented at all forums.
    • Identify conflicts and creatively resolve, coordinate domestic and international travel arrangements, and prepare itineraries and process expense reports.
    • Schedule internal cross functional meetings, diligence calls with external parties, and respond to meeting requests.
    • Coordinate internal meetings & capture, transcribe and distribute meeting minutes where applicable.
    • Support conference planning, registration, housing, travel, as needed.
    • Manage distribution lists, organizational charts and Standard Operating Procedure documents.
    • Support internal and external communications and distributions for Global Commercial Oncology team.
    • Provide backup support as needed to other Global Commercial Oncology Administrative Coordinators/Executive Assistants.
    • Administrative special projects as needed, such as summits, off-sites, team building, and onboarding needs.

    Basic Qualifications:

    Associate degree and 2 years of administrative experience

    OR

    2 years in a technical school setting with hands-on experience

    OR

    High school diploma / GED and 4 years of administrative experience

    Preferred Qualifications:

    • 2 years in an administrative support role
    • Working knowledge of Tableau
    • Prior experience managing executive level meeting calendars in a high paced environment.
    • Experience working in a fast-paced fluctuating environment and providing administrative support to remote staff.
    • Self-starter who can function autonomously.
    • Flexible, takes initiative and works well independently and in teams.
    • Excellent communication skills (verbal and written).
    • Ability to demonstrate sound judgment, solutions-oriented, problem solver.
    • Working knowledge of software platforms including but not limited to Microsoft systems (e.g. SharePoint, MS Teams and the MS Office Suite), Smartsheet, Box, and SAP.
    • Demonstrate strong abilities in prioritizing, managing multiple tasks to meet deadlines and priorities, tracking and reporting the status of assignments and activities.
    • Demonstrate interpersonal skills to effectively establish and maintain professional relationships, partner with colleagues, and achieve required business outcomes.
