Clinical Administrative Coordinator is responsible for overseeing the daily operations of an assigned unit or clinic section within a hospital. Schedules employee shifts and ensures admitting and discharge functions are providing for optimal patient flow. Being a Clinical Administrative Coordinator ensures that hospital resources are being used in the most efficient manner. Assigns patients to appropriate health practitioners. Additionally, Clinical Administrative Coordinator may perform other administrative functions as necessary. May require a bachelor's degree in area of specialty. Typically reports to a supervisor or manager. To be a Clinical Administrative Coordinator typically requires 2 to 4 years of related experience. The Administrative Coordinator is responsible for front office duties at the San Pablo office and coordinating/delegating/supervising office-related duties for the satellite offices. The San Pablo office is open Monday through Friday, 9 a.m. – 5 p.m., as our grant funding requires. The Administrative Coordinator is responsible (directly or via delegation) for opening the office at 9 a.m. each day and closing at 5 p.m. and for answering the phones during that period. In addition, data responsibilities include the input or supervision of the input of statistical data regarding clients served, victims of sexual assault, donor records, and maintenance of mailing lists.
SPECIFIC DUTIES INCLUDE:
· Answering/supervising all office phone calls and routing calls.
· Input of CVS service statistics for grant reports and donor appeals.
· Maintaining service records filing system.
· Working with Data Manager/Contractor to generate statistical and grant reports.
· Directly or supervise the opening and distributing mail and distributing faxes.
· Copying and filing and faxing.
· Preparing Community Information packets and other media materials.
· Updating forms and manuals.
· Ordering office supplies, including coordinating orders from other sites.
· Ordering and tracking equipment in concert with program directors and upon approval from Executive Director
· Maintaining a clean and pleasant appearance in the front office and entire facility.
· Maintaining up-to-date mailing lists.
· Coordinate employee equipment needs regarding day-to-day duties (CVS property – cell phones, pagers, facility keys, mailboxes, tracked and distributed.
· Set up of employee phones and mailboxes on site.
· Follow up with vendor contacts as needed.
· Support of events and fundraising projects as needed.
· Support of Program Directors in special projects (SAAM, mail lists, etc.)
· Other responsibilities as assigned by the Executive Director or their designee.
REQUIREMENTS:
· Database/data input experience.
· Bilingual /Bicultural (Spanish language) preferred.
· General computer capability – Microsoft Word, Excel, Publisher, Windows 2000, ME/98, MS Office, MS Access.
· Five years of clerical experience.
· Good verbal and writing skills, including proficiency in grammar and spelling, and professional letter writing/correspondence.
· Sensitivity to sexual assault issues.
· Strong organizational and people/interpersonal skills.
· Highly motivated, organized, detail-oriented, self-starter able to work as a team player within an organization.
· Regular and prompt work attendance.
· Able to obtain clearance with the California Department of Justice.
· Must have a valid California Driver’s license, insurance, and working vehicle.
· Desktop troubleshooting and web page support experience a plus.
