Client Services Director directs and oversees the implementation operations of an organization. Oversees a team responsible for installing and deploying technical systems, software, hardware, or solutions. Being an Client Services Director implements policies and creates procedures to ensure consistency and high-quality work. Ensures that the timelines, planning, scoping, and cost estimates support successful projects that meet the needs of the client organization. Additionally, Client Services Director tracks implementation timeliness and client issues and develops solutions to implementation problems or challenges. Develops team skills and expertise with coaching and training activities. Requires a bachelor's degree in area of technical specialty. Typically reports to senior management. The Client Services Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. To be an Client Services Director typically requires 5+ years of managerial experience. Deep knowledge of the managed sub-function and solid knowledge of the overall departmental function.   • We are seeking a Client Services Coordinator for our Phoenix office. In this role, you will be a first point of contact for many of our clients and visitors as you provide a warm, professional welcome in our main reception/client services area, as well as directing callers and inquiries to the appropriate department or individual at the Firm. In addition, this role will perform various administrative support to our legal assistants, attorneys, and other departments. Do you excel at providing excellent client and customer service? This is an in-office position and the work hours are 8:30 a.m. to 5:00 p.m., Monday through Friday.

    In this role, you will:

    • Answer phones and direct callers.
    • Greet clients and customers.
    • Schedule conference rooms and resources (equipment, catering, etc.)
    • Assist with conference room set up and clean up after events and meetings in a timely manner.
    • Order food for client and interoffice meetings including internal events, as needed.
    • Schedule visiting attorney offices and send welcome emails to office.
    • Manage parking validations for clients and visitors.
    • Provide additional administrative support to legal assistants, attorneys, marketing, and administration. This includes typing, proofing, preparing mailings, submitting expense reimbursements, and entering time entries into billing system. May also include assisting with closing books, coordinating travel arrangements, preparing name tags for events, and other administrative duties.
    • Compose documents and emails as directed. Keep up-to-date on grammar, punctuation, usage rules, special formatting rules, and spelling of legal terminology.
    • Prepare expense reports, process vendor invoices, and process check requests.
    • Assist with large mailings, prepare outgoing mail, and prepare FedEx labels.
    • Schedule file retrievals and deliveries.
    • Maintain updated Wi-Fi passwords and post information in all conference rooms and visiting attorney offices.
    • Assist with ordering supplies, including restocking kitchen beverages, delivering packages, and restocking printers.
    • Restock printers and copiers with paper.
    • Assist Office Manager with office PTO calendar and send coverage emails to office during absences.
    • Keep supervisor informed of activities and of any significant problems.
    • Maintain a clean and uncluttered work area, ensuring that sensitive materials and valuable items are secure.
    • May perform other duties not listed above.

    What we’re looking for:

    • High School diploma or G.E.D. equivalent.
    • At least 1 year of administrative or receptionist experience.
    • Professional appearance.
    • Ability to communicate effectively, both verbal and written, with all levels of personnel both external and internal.
    • Ability to relate well to all levels of personnel both external and internal.
    • Ability to work independently, be proactive, and take appropriate initiative.
    • Ability to work in and add value to a team environment.
    • Demonstrated ability to stay focused on priorities and successfully perform job duties under stressful circumstances, including maintaining a calm demeanor.
    • Understanding of the firm’s business and services being provided.
    • Regular attendance and punctuality.

    Preferred:

    • Previous receptionist experience in a law firm or professional services industry.
