    Under the general direction of the Director, Claim Services (and with dotted-line direction by the Manager, Risk Financing and Consulting), the Claims Operations Analyst will independently support the Claim Services and Risk Financing Programs in the management of claims and lawsuits managed by the Office by gathering, managing, summarizing and reporting of data and records needed, predominantly but not exclusively in the healthcare and liability claims/litigation process. The position also will independently navigate various legal, regulatory, and policy requirements of healthcare and other complex claims as required by internal policies and external regulatory environment. This position is a critical part of the risk management function at the University and its Medical Centers.

    This position requires ability to regularly and independently perform data analyses of a non-routine nature and to make data-based recommendations and decisions. This position is additionally responsible for gathering and validating information from multiple data sources, including the querying of various databases containing claims and financial and claims data, and effectively communicating to leadership with requests for information. The position also requires capacity to understand and incorporate applicable policies, law, and regulations into responsible work streams as well as the savvy ability to communicate as a productive partner. Maintenance of accurate documentation and data integrity, research, analysis, and subjective judgement is required to assist the Office with the management and ultimate resolution of claims.

    This position is responsible for documenting and organizing of Claims and Risk Financing guidelines and processes as well as maintaining regulatory compliance and reporting functions.

    The Claims Operations Analyst is responsible for claims reporting, data maintenance, and financial dimensions Claims Services and Risk Financing & Consulting units of Compliance and Risk Services.

    Risk Financing & Consulting protects the University from the impact of unintentional loss. It provides services to all University schools, colleges, and administrative units in the areas of risk financing, risk consulting, and claim management and reporting. The University uses all types of risk transfer mechanisms. Losses occur most frequently in the areas of workers' compensation, automobile, general, employment practices and professional liability, with lower frequency in marine protection and indemnity and first-party property claims.

    Claim Services is a part of the University’s Compliance and Risk Services (CRS) unit. Claim Services works on behalf of the University to protect against financial impacts of accidental loss. Claims Services, as part of Compliance and Risk Services, provides support to all University schools, colleges, and administrative units in the areas of claims management including but not limited to expenses and recoveries associated with claims and strategic loss control. As such it plays a critical role in supporting the University mission for teaching, research, and public service.

    Duties/Responsibilities

    In an independent manner, Support Risk Financing and Consulting and Claims Services Programs with creating, archiving, gathering, summarizing, analyzing, distributing, and general management of various records that directly support the management and ultimate resolution of University claims. Includes, but is not limited to:

    • Creation and maintenance of financial and other records associated with claims and defense of claims, which includes creating, analyzing and limited distribution of records, data, data analyses, and reports. Work products entail deliverables of both routine and non-routine manner.
    • Independently support the financial processes related to claims, PBI and UW budgets including creation and maintenance of financial records and data reports.
    • Application of litigation hold notices and releases, tracking records, and other record management procedures as legally required.
    • Applying independent judgement and analysis, perform initial case intake and set-up, including direct communication and introductions with involved parties and outside counsel and document initial case set-up in Claims Services database.
    • Respond to defense counsel requests for medical records, billing records, policies & procedures, and other documents in response to claim investigation and legal discovery
    • Perform accurate documentation of work completed in the Claims Services database
    • Provide additional administrative coordination support at the direction of the Director and/or Claims Manager
    • Perform general document organization and analysis as needed at the direction of the Director and/or Claims Manager
    Management of Public Records Requests:
    • Serve as liaison for Compliance and Risk Services to the Public Records Office
    • Coordinate, track, and document responses
    • Elevate issues to Compliance and Risk Services leaders as needed
    Information/Data Management: Provide information, data analyses and recommendations to the Director of Claims Services and Manager of Risk Financing and others upon request related to claims and litigation trends and lessons learned.

    Communication Management for Claims/Lawsuits: Independent coordination of Claim Review Committee Process by communicating with stakeholders and scheduling meetings as appropriate.

    Regulatory Compliance Support: Ensuring compliance with various reporting agencies (CMS, OIC, DOH, NPDB, and others) by completing reports and/or ensuring reports are completed.

    Malpractice Claim Histories and Credentialing Inquiries: Completing and independently evaluating claims histories; fielding questions from providers; developing and maintaining efficient process for same.

    Ownership of critical elements of indemnification and defense cost disbursement process for University employees, students, and agents, by managing required correspondence.

    Other claims/litigation support and special projects as assigned by the Manager of Risk Financing and Consulting.


    Requirements include:

    • Bachelor's degree
    • Four years' accumulated professional experience
    • Excellent written and oral communication skills with ability to communicate effectively with diverse audiences
    • Ability to analyze, interpret, and apply complex rules and regulations toward effective problem solving
    • Ability to use computer systems and databases effectively and efficiently
    • Demonstrated customer service skills
    • Strong planning and organization skills

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
