  • The Association Services Assistant is primarily responsible for assisting staff in maintaining relationships with association clients and will actively monitor client needs in order to evaluate existing or proposed solutions to address those needs.

    Duties and responsibilities

    The primary job duties and responsibilities for the includes, but not limited to, the following:

    • Assist in the entry and maintenance of membership databases, computer-based and online platforms, and ensuring database captures are correct and current in a manner that will facilitate and expedite customer service.
    • Be a resource to various members for association related products, services, and tools, recording interactions in the membership database.
    • Help facilitate association activity to promote staff personnel development in coordination with other organizational resources to eliminate redundancy and foster cooperative initiatives internally.

    · Records and distributes minutes or other records for meetings as assigned.

    · Assist in various stages of event and/or program planning.

    · Assist in billing and recording payments in various databases as directed.

    · Assist other employees to track transactions to ensure consistency and accuracy.

    · Maintain knowledge on how to utilize the various electronic platforms including social media to support marketing initiatives.

    · Act as a team member dedicated to achieving organizational goals and objectives for exceeding customer expectations.

    Other responsibilities include providing support to assist in the administration of the corporation. Duties may include a wide range of tasks including: providing gatekeeping duties for incoming inquiries; processing daily incoming mail and packages; scanning documents/checks; entering PAC entries in database; capturing digital images of events and programs; updating website; schedule and organize activities such as meetings, travel; prepare class and meeting rooms; and, maintaining other specific areas assigned from time-to-time by the President & CEO.

    Employee may be assigned as a committee liaison from time-to-time that may require minute taking, mailing of meeting notices, and other duties that may be assigned by the committee provided they are consistent with the corporation’s goals and objectives and cannot be construed as illegal or unethical.

    It is the employee’s duty to always maintain a professional and courteous attitude among employees. The employee will also maintain their workspace and other areas used in the course of their employment in a manner that permits others to utilize the same resources.

    The employee may be assigned duties from time-to-time outside the scope of specific duties and responsibilities outlined in this job description.

    Working conditions

    Employee is expected to work from open to close of business each day. Employee will also endeavor to provide support for other corporate initiatives that may require attendance at offsite meetings from time-to-time.

    Job Type: Full-time

    Pay: $19.00 - $30.00 per hour

    Expected hours: 35 – 40 per week
